Bunkhouse has designed and developed a celebrated portfolio of hospitality projects including Hotel San Jos, Hotel Saint Cecilia, Austin Motel, and Jo's Coffee in Austin, Hotel Havana and Ocho in San Antonio, and El Cosmico in Marfa, Texas.


The Event Manager will exceed the expectations of all guests in a multitude of tasks that include, but are not limited to generating business for the venue, creating proposals and contracts for events, organizing tours and site visits for booked events, and acting as clients' venue representative for planning, production, and execution phases. This role is considered a "key holder" position, and is responsible for supervising event-related activities and Fair Market event staff when on property. This position requires working nights and weekends, dependent on event schedule.

The person in this position must have good communication skills, the ability to resolve conflict and possess a thorough understanding of Bunkhouse policies. They are expected to greet all guests in close proximity and make each feel important by providing a genuine welcome. Furthermore, the Events Manager must develop and maintain the company's culture, values and reputation in the public eye, and with all staff, guests, vendors and partners.

Based upon fluctuating demands of the operation and to exceed customer expectations, it may be necessary to perform a multitude of different functions not specifically related to this position. This person may be expected to perform other tasks and duties as needed or as directed. Furthermore, employee responsibilities and job descriptions are subject to review and revision.

We are looking for someone with:

Event planning or event management experience

Ability to handle situations of high-pressure or stress confidently and with composure

High School diploma or general education degree (GED) - College Degree preferred

A minimum of two (2) years related experience in hospitality or service industry

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals

Ability to speak effectively before groups of co-workers and sister property staff

Ability to create documents in Excel and Word

Ability to understand other computer programs (i.e. Property Management System)

Job responsibilities:

Demonstrate working knowledge of the Bunkhouse operational standards and Core Values

Serve as a leader in Fair Market's "Guest Service" culture through personal actions, identifying areas for improvement, and participation in all aspects of providing our clients and guests with superior Guest Service

Respond promptly to event inquiries, requests for venue information, and any other sources of potential business opportunities for the venue in a hospitable and detailed manner, both by phone and email

Meet with potential clients to tour the venue and communicate available event services as needed

Assist with managing events calendar, booking holds, and following up with trace dates

Prepare event proposals, contracts, accurately confirm event bookings

Accurately collect and record event revenue

Schedule in-house services and staffing with necessary vendors and departments

Organize site visits with event planners, clients, and vendors and provide venue information and guidelines for booked events

Learn and stay current in local City of Austin code (Health, Fire, Building, etc.) as pertains to Special Events industry

File all necessary/required event permits and ensure each event follows local regulations

Utilize existing office systems consistently to maintain accurate, up to date information for all client accounts and event bookings

Prepare and distribute, in an accurate and timely manner to all property departments and contract vendors, all correspondence regarding needs of each client/event, including but not limited to: BEO's, Production Schedules, Production Reports, and other event documents

Perform event day "Manager-on-Duty" functions such as: opening and closing the venue for events, managing events from start to finish, enforcing all event policies and guidelines, coordinating all details with client/vendors, supervising Fair Market event staff to ensure all staff adhere to dress code policies, clock in and out properly, and perform all required duties for their scheduled shifts

Demonstrate a working understanding of labor cost control through effective scheduling and proactive management

Resolve customer complaints regarding event operations in conjunction with GM

Establish cost improvement objectives and implement action plans as relates to event production protocols

Contribute toward achieving overall annual business revenue goals for the property

Assist in completing monthly Sales and Event Reporting

Plan personal work schedule, prioritizing work tasks and responsibilities

Ensure open lines of communication with staff, all departments and upper management at all times via email, reporting, calendars, log books, attending all relevant meetings, etc., to ensure all needs of the venue are met

Adhere to all standards of operations, policies and procedures, manuals, training material, memos and verbal instruction

Maintain a high level of cleanliness and safety in the work area, keep abreast of emergency procedures and OSHA requirements, and ensure that all equipment is maintained in good, safe working condition
