Position Summary:

With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the head of an academic, medical service, business or comparable department. Is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures and practices of the University, or within a specific division, or in other demonstrated and related equivalent situations. In department business matters has frequent contacts with Deans, Directors, faculty members, students and other administrative staff. Is responsible for assignment and the review of the day-to-day clerical operations.


  • Provides administrative assistance to the Department Head, faculty members, undergraduate students, business officers and the like: furnishes factual reports and information about the business of the department, grant and budget accounts, symposia, colloquia and courses; may screen graduate students' applications for completeness and orient students to the department; compiles technical and other information for publications, reports or correspondence; assembles information for and assists in preparation of budget requests; maintains confidential departmental budget, account, personnel and payroll records. Produces periodic status reports.

  • Performs secretarial duties including; the sorting and routing of mail, the taking and transcription of dictation, serving as departmental receptionist, maintaining files and office supplies, arranging travel and other accommodations.

  • Frequently composes, types and signs non-routine correspondence providing factual information. Gathers necessary information for and drafts important and confidential correspondence.

  • Types summary or verbatim transcripts of administrative meetings. Occasionally serves as recording secretary at meetings; prepares and types minutes.

  • Assists in arrangements for symposia, colloquia and administrative meetings; prepares and distributes agenda, reserves meeting place, etc.

  • May supervise other secretarial and clerical assistants.

  • May control department petty cash account.

  • Performs other related duties.


Education: 2 years of post high school education in secretarial studies or the equivalent.

Experience: At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.

Technical: Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers.

OR a combination of formal training and experience equivalent to the above

Solely responsible for all AS&E academic honesty initiatives, the Assistant Director advises senior leadership on academic honesty policy and practice and designs, prepares, delivers, and evaluates programming to promote academic honesty and adherence to the AS&E academic honesty policy. Responsibilities: Academic Honesty * Advises senior leadership on College- and department-wide policies and practices regarding the prevention and adjudication of academic dishonesty * Chairs Dean of the College's Academic Honesty Education Committee * Conducts research and benchmarking to support academic honesty programming * Works closely with a network of other university offices to coordinate academic honesty with related student services such as orientation, academic advising, academic support, emotional support, international student engagement, and visa logistics * Develops, delivers, and evaluates academic honesty educational outreach programming to AS&E students, faculty, and staff * Provides confidential counseling for students, faculty, staff, and parents on academic honesty cases and policies * Develops, delivers, and evaluates in-house educational interventions assigned as academic honesty sanctions, including online academic honesty tutorial and in-person counseling for academic disciplinary probation * Develops and implements policies, procedures, and tools to supplement and support the AS&E academic honesty policy, including training for the randomized seat assignment tool * Recruits, hires, trains, and supervises graduate assistant for academic honesty and faculty development as needed * Consults with faculty on improving teaching practices to encourage honest work * Demonstrates mastery of AS&E academic honesty policy * Maintains and develops academic honesty website * Other duties as assigned Faculty Development * Advises senior leadership on College- and department-wide programming and practices to improve the quality of education for AS&E students * Conducts research and benchmarking to support faculty development programming * Collaborates with faculty members to understand their teaching goals; identifies possible solutions that respond to those identified goals drawing on background in faculty role, faculty teaching experience, and teaching literature; and supports faculty members in implementing potential changes * Creates, facilitates, and provides expert support to cohort-building opportunities for faculty to develop the creation of supportive relationships among faculty * Designs, delivers, and evaluates programming, resources, and tools to support the teaching of instructors in AS&E * Plans, administers, facilitates, and evaluates instructor learning communities, communities of practice, and discussion groups * Plans, administers and evaluates instructional development grant programs * Provides individual teaching consultations to AS&E instructors * Co-develops teaching center budget * Other duties as assigned Qualifications: Master's degree and 2 years (prefer 2-5 years) in a) instructional development or teaching and learning support and b) academic honesty or student conflict resolution. Preferred Qualifications Two to five years experience in designing and delivering instructional development programming, preferably in a research university setting. Two to five years experience in designing and delivering academic honesty programming. Experience supporting undergraduate students through instruction, academic advising, student affairs, or student conflict resolution.
