POSITION PURPOSE

The Paul G. The Allen School occupies two spectacular buildings - the Paul G. Allen Center and the adjacent Bill & Melinda Gates Center - located at the heart of the UW campus in Seattle.

The Allen School is seeking outstanding candidates for the position of Faculty HR Manager.

We are looking for a collaborative and collegial partner to join our HR Team. Reporting to the Assistant Director of Human Resources, the full-time Faculty HR Manager applies specialized knowledge of UW, Allen School, and College of Engineering policies and procedures to manage the School's faculty human resources operations for full-time faculty, adjunct, affiliate, and emeritus faculty members. The Faculty HR Manager has primary responsibility for organizing and effecting successful annual processes including faculty recruitment and onboarding, promotion and tenure, professional and medical leaves, merit reviews, annual reappointments, as well as Workday Human Capital Management for these faculty members.

The Faculty HR Manager must be an exceptionally professional individual who works well in a highly confidential environment, has outstanding initiative and can deliver effective results working independently with general guidance. The successful candidate must also have strong interpersonal skills, exceptional communication skills, strong proficiency with systems and software, excellent organizational skills, ability to exercise discretion and good judgement, and value diversity.

DUTIES AND RESPONSIBILITIES

Faculty Recruitment

Manage recruitments from conception to hire for multi-year faculty positions. With the search committee chairs, draft ads and use Interfolio and the Allen School's internal systems to manage recruitments and hiring.

Advise search committee chairs on recruitment strategies and best practices.

Develop and implement procedures to improve the hiring process for committees and experience for candidates. Actively pursue education about best practices and resources available to recruit and support a diverse workforce.

Manage all aspects of multi-day faculty candidate visits, e.g., correspond with candidates, advertise research talks, create and manage candidate itineraries, schedule meetings with appropriate deans and other stakeholders, and communicate with candidate and other staff to arrange travel and other logistics.

Work with the Director and HR Director to prepare offer letters.

Obtain necessary approvals from the Dean's Office.

Ensure accuracy of letter content and communicate with internal partners to document commitments.

In collaboration with Allen School Director and HR Director, lead the faculty hiring plan submissions and reports to the College of Engineering Dean's office annually.

Develop, implement and manage an onboarding process for new faculty hires leading up to their arrival at the Allen School.

Ensure all staff teams are aware of arrival timelines and oversee completion of preparation steps for new faculty arrivals.

Coordinate with the faculty onboarding chair regarding the annual new faculty onboarding program each fall.

Faculty Life Cycle

Manage the school's academic human resource processes for tenured/tenure track, teaching and research faculty, adjunct and affiliate faculty, and Emeritus faculty, ensuring compliance with school, college and UW policies.

Organize work to meet various deadlines based on appointment type and complex internal school review processes and timelines.

Serve as the primary contact for lifecycle issues surrounding these faculty titles with the Office of Academic Personnel and the College of Engineering Dean's Office.

In close collaboration with the school's Director and committee chairs, manage and facilitate faculty promotions and tenure reviews in a timely and thorough manner.

Track mandatory review and promotion dates and drive the review process from start to finish. Provide expert guidance to promotion committee chairs, set timelines and communicate effectively, obtain material from faculty and reviewers and organize within Interfolio, respond to information requests from the Dean's Office, and ensure timely submission of all dossiers.

Manage annual faculty conferences: advise Director and faculty members of the requirements as defined by the Faculty Code.

Obtain required materials from School staff and faculty members and disseminate to reviewers. Document completion and meritorious determinations, coordinating with the HR Director during the merit process.

Manage all aspects of faculty leaves, including sabbaticals, outside professional work, and medical/personal leaves.

Advise faculty and Director on processes and rules, ensure all documentation is submitted to various offices as required, and track approvals.

Communicate proactively with other impacted staff teams about faculty leaves.

Implement and manage an effective offboarding process when faculty resign or retire.

Ensure all staff teams are aware of departure timelines and oversee completion of offboarding steps across the school.

Faculty HCM/Payroll Management

Responsible for all Workday business processes and internal database management for faculty compensation, appointment/reappointment, termination, leaves, and payroll, while adhering to federal, state, university and college level policies and procedures.

Partner closely with the Payroll and Grants Team to facilitate accurate and timely faculty payroll.

Communicate proactively and frequently with both to resolve errors or problems.

Regularly run reports to check accuracy of faculty Workday position, compensation, and academic appointment records.

Participate in annual academic/faculty Workday audits with the Office of Academic Personnel.

Respond to requests for faculty data from within the Allen School, College, and UW.

Participate in annual Taulbee survey data collection and submission regarding multi-year faculty, and other industry or professional association data collections necessary for accreditation or other purposes.

Other duties

Maintain and update internal faculty human resources websites, e.g., leaves, policies, etc.

Serve as backup to the Academic HR Manager and Executive Assistant to the Director.

Participate in other human resources and payroll processes as needed within the HR/Payroll team.

knowledge of policies affecting faculty recruitment, promotion and tenure, leaves, and other life cycle actions.

Other duties as assigned.

MINIMUM REQUIREMENTS

Bachelor's Degree in Administration, Public Administration or a related field or equivalent work experience

At least four years of experience in human resources management in higher education

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Demonstrated ability to use the Microsoft Office Suite (Word, Excel, and PowerPoint) and Google Office Suite (Sheets, Docs, Drives, etc.), and to learn other software applications as necessary to do the job.

Demonstrated ability to organize and prioritize, and to successfully juggle multiple responsibilities at the same time.

Must be able to work effectively under pressure and consistently meet deadlines.

Demonstrated ability to work independently and as part of a team.

DESIRED QUALIFICATIONS

Experience with Human Resources Information System (HRIS) such as Interfolio, Workday, PeopleSoft or equivalent.

Knowledge of Federal and Washington State employment law.

Knowledge of University of Washington human resources policies.

PHR or SHRM certification

CONDITIONS OF EMPLOYMENT

This position is eligible for hybrid telework and will work in a standard office environment when on site on the UW Seattle campus. Due to the high volume and deadline driven work, this position will require working more than 40 hours per week at peak times.
