Job Summary

The University of Colorado Boulder invites applications for the Faculty Development and Support Program Coordinator (OFA FDS Program Coordinator) position in the Office of Faculty Affairs (OFA)! This role serves as the central coordinator for all OFA FDS programs and initiatives and is responsible for supporting the FDS plan of operations from program recruitment to evaluation. The Program Coordinator collaborates with OFA leadership to plan services, programming, and initiatives that support faculty mentoring, leadership development, and community-building.

An essential domain within the campus OFA FDS is led by the assistant vice provost for faculty development and support and director of faculty relations (AVP/DFR). It offers or coordinates various initiatives and leadership development programs to support tenured, tenure-track, and specialized faculty across the faculty lifecycle. In addition, the office holds one-off workshops, events, and trainings to provide professional development and community-building opportunities for faculty, as well as some oriented for specific populations such as international faculty, women+ faculty, and faculty of color.

Who We Are

The Office of Faculty Affairs coordinates a variety of activities associated with faculty life and academic programming on the Boulder campus. Along with Faculty Development and Support and Faculty Relations, the domains within Faculty Affairs include Academic Program Review, Faculty Data and Impact, and Faculty Personnel. The office is a branch of the division of Academic Affairs and is administered by the Vice Provost and Associate Vice Chancellor for Faculty Affairs.

Major office functions include:

  • Faculty Personnel: Faculty recruitment, hiring, and appointments; reappointment, promotion, and tenure; post-tenure review; evaluation and compensation; leaves, sabbaticals, and retirement

  • Faculty Development & Support: Mentoring; professional development workshops for early-career, mid-career, and teaching/clinical faculty; community building initiatives; leadership development; faculty relations

  • Faculty Data & Impact: Processing and reporting faculty personnel actions requiring approval by the provost, chancellor, president, and the University of Colorado Board of Regents; providing assistance to faculty for the Faculty Report of Professional Activities (FRPA)

  • Program Review: Supporting the academic program review processes administered by the Academic Review and Planning Advisory Committee (ARPAC)

What Your Key Responsibilities Will Be

Program Coordination

Serve as the project coordinator for FDS, organizing programming, ensuring appropriate timelines are met, providing data support, and working with others to stay current on project status and provide updates. Work with the FDS team to design calendar of events, and with the marketing and newsletter manager on editing newsletter content, ensuring that all FDS opportunities are included; track due dates for various application-based programs to make sure they are appropriately advertised; support the multiple directors and fellows on their programming; and be the central repository of knowledge about everything that FDS does.

Specifics include the following:

  • Collaborate with OFA leaders and colleagues to plan programming, services, and initiatives supporting faculty development, leadership, and community-building.

  • Research and strategize ways to improve practices; build up those practices within the unit.

  • Work with academic units across the campus to inform constituents of OFA opportunities, build collaborations, and encourage greater departmental support.

  • Support assessment efforts of the FDS initiatives to improve current programs and inform new or expanded programs.

  • With FDS director for faculty mentoring and development, coordinate FDS faculty workshops and events.

  • Support faculty fellows and directors to ensure the delivery of programs and initiatives.

  • Create and add to the electronic file structure based on the organizational structure of existing material and recommend improvements.

  • Ensure updated materials like faculty lists or lists of deans and chairs are coordinated and compiled annually. Identify when these lists are produced and request them from the appropriate office.

  • Make recommendations to improve office processes.

  • Develop and maintain office files, processes, and procedures and track consultations.

  • Collaborate with the OFA operations manager and the program and events coordinator for Academic Affairs on event planning and execution.

  • Attend FDS events and programs and support check-in and close-out activities as needed.

  • Collaborate with the FDS team on completion of handbooks and annual reports.

Communications

  • Coordinate with the OFA program director of communications, outreach & scholarly impact to ensure communications and marketing for events is on the FDS website (e.g., editing, maintenance to ensure correct information, and regular updating of application deadlines).

  • Promote FDS events and services through relevant communication channels.

  • Serve as first point of contact for all FDS internal and external communications, including sending out emails and communications from FDS leadership as needed. Draft and distribute professional correspondence related to FDS operations and programs.

  • With the director of faculty relations, coordinate the "Dear Faculty Relations" columns.

  • Assist leadership with annual reporting, compiling data and pivot tables into reports.

Data Management

  • Create and maintain a faculty and academic leader participation database/list.

  • Produce customized and routine (monthly, semester, annual) reports regarding usage and activity for distribution.

  • Support the AVP/DFR with organizing, disseminating, and managing data/assessment processes.

  • Collaborate with FDS colleagues to create and organize electronic application forms for FDS programs.

Supervision & Training

  • In collaboration with the Operations Manager provide FDS related duties to the Office of Faculty Affairs student workers.

  • The salary range for this position is $50,000 - $56,250 per year.

What We Require

  • Bachelor's Degree or equivalent combination of education and experience may substitute.

  • Two (2) years of directly related work experience.

  • Proficiency with Microsoft Office (Word, Outlook, Teams, Forms, SharePoint), & Zoom.

What We Would Like You to Have

  • Experience working in a higher education environment.

  • Scheduling, event planning, and coordination experience.

  • Experience with email communication platforms in addition to Outlook.
