If so, we're looking for someone like you to join our team at APL. We are seeking a Group Administrator to assist with the organizational and operational functions of the Maintenance & Operations Group.

In this role, you will work closely with various functions within the group, as well as across the department and the Lab.

Organize and schedule meetings, appointments and conference calls and be responsible for meeting minutes and related Create and distribute memos, letters, and forms used by the group. Research and develop presentations for the group, as needed make travel reservations and process travel reimbursements process trades license renewals plan and help lead Group events and activities.

Analyze utility billing invoices, allocate charge codes and process for payment and record utility consumption and demand data to establish and maintain energy consumption data reports.

Procure supplies and services, maintain an inventory of supplies and equipment, and serve as the group property and training representative, which includes coordinating the ordering and return of all electronic devices, computer equipment, and other APL property. Facilitate the on-boarding of new staff members and assist with staff training and relevant record keeping complete all group, department, and lab training requirements.

Attend department meetings and actively participate in department-wide initiatives as required.

Plan and coordinate events, meetings, and conferences. Handle logistics to ensure smooth execution.

Reconcile operating budgets based on department and group usage, including oversight of discretionary funds.

Coordinate with the move-management team for tracking surplus items and managing the assigned property list in Asset Management. Work with staff on employee reimbursement through EBBS and manage the APL fiscal approval chain for P-CARD payment submissions. Qualifications You meet our minimum qualifications for the job if you... Have a high school diploma or GED with at least 5 years of administrative or office experience Are proficient in the use of desktop computer applications, including Microsoft Office applications such as Outlook, Word, PowerPoint and Excel, as well as accessing and manipulating Laboratory databases.
