The Roy J. and Lucille A. Carver College of Medicine Facilities Planning and Management Office is seeking a Facilities Coordinator to provide general facilities support to the Carver College of Medicine Facilities Planning and Management Office. This position will be responsible for independently performed minor carpentry, painting and general maintenance work, lab and equipment moves, daily event setups (tables and chairs), the day-to-day management of the student labor force, laboratory equipment exchange/surplus, central autoclave & darkroom maintenance coordination, along with the storage room equipment and furniture inventories. Heavy lifting and manual labor are required for this position.

Percent Time: 100%

Duties to include:

Operational Management (70% of duties)

  • Coordinate and execute logistics of lab and office moves/relocations, delivery of large equipment from the loading dock to lab. Heavy lifting is required.

  • Manage and perform minor carpentry, painting, and general maintenance work to facilities.

  • Liaison with CCOM Materials Management to schedule the move of items from the receiving dock to labs. Serve as back-up in Materials Management as needed.

  • Liaison between Carver College of Medicine (CCOM) and UI Facilities Management (UI FM), answering daily service calls providing CCOM back up for after-hour emergency calls.

  • Work with CCOM Project Manager and UI Facilities Management, Environmental Health and Safety, and Public Safety regarding violations, safety issues and regulations.

  • Identify & report work repair requests for public areas in collegiate buildings to CCOM Facilities Operations Manager to submit for remediation through the UI FM work order portal. Track repair requests to ensure remediation is complete.

  • Manage the laboratory equipment exchange/surplus program.

  • Assess and maintain storage space inventory and management including surplus activities when items are no longer needed.

  • Supervise repairs and modification to buildings, equipment, and specialized environments.

  • Initiate and coordinate data and telephone services to building/program occupants.

  • Interpret policy and procedure affecting building or facility use. Prepare periodic reports.

  • Lead temporary labor force (undergraduate students) to accomplish established objectives, successful outcomes within set deadlines.

Project or Event Design and Management (15% of duties)

  • Assist CCOM clients, faculty/staff, and students in the layout of event space needs and special accommodations.

  • Provide the physical labor along with the student labor force for all event staging needs including but not limited to equipment set-up and take-down.

  • Assist clients, faculty/staff, and students in the design of temporary space accommodations.

  • Coordinate and monitor staff or vendor/contractor activity in the modification of facilities or system repairs.

  • May support the CCOM Project Manager for small projects as needed.

Financial Management (5% of duties)

  • Gather information and recommend products or services to aid facilities operations.

Strategic Planning Initiatives (5% of duties)

  • Execute initiatives established by department management.

  • Advise on efficacy of programs or services. Helps set goals for CCOM Facilities office operations.

Human Resources (5% of duties)

  • Lead individual or group activities to accomplish established objectives.

  • Model appropriate behaviors and action. Monitor and report successful outcomes.

Required Qualifications:

A Bachelor's degree or an equivalent combination of education and experience is required.

1 year of experience with building operations and/or general knowledge of basic construction.

Proficient in general maintenance (such as upkeep of laboratory furniture, and installation of tank restraints or shelving).

Ability to perform minor carpentry work (general and basic repairs, i.e. hanging pictures, assembling furniture, casework adjustments).

Function independently as well as a member of the team, able to meet ambitious deadlines, including demonstrated experience working with confidential projects using discretion and independent judgment.

Excellent customer services skills, including ability to build relationships and ability to reach a common goal with customers in a positive outcome/experience.

Excellent written and verbal communication skills are required including ability to compose communications and grammatically correct documents in a concise, logical and organized manner.

Ability to attend meetings and events outside of normal working hours. Ability to have a flexible work schedule that can accommodate after-hours calls with possibility to come into the workplace. Ability to cover emergent situations that may occur after hours, sharing this duty with other CCOM Facilities managers. Possibility of flexible schedule.

Proficiency in computer software applications including Microsoft Outlook.

Desired Qualifications:

1 year of experience with carpentry, electrical, HVAC and/or plumbing).

Knowledge of University of Iowa policies and procedures is desirable.

Prior work in a higher education research facility/office and familiarity with biomedical research laboratories.

Knowledge of Adobe Acrobat (Pro or DC) desirable.
