Provide general overall Facility Coordinator services including continuous monitoring of the safety, comfort, and functionality of multiple facilities. Handle routine facility management operations including procurement of supplies and services, working with landlords and contractors to complete assigned tasks and other duties as assigned. Be involved in the process is getting contractor's quotes, having the quotes approved in a timely manner, assisting contractors with processing of their invoices.

Area of Responsibility:

  • Perform day-to-day oversight and completion of work orders, from original request to final invoice

  • Assists with receiving and dispatching of work requests to technical staff, vendors, or other services providers.

  • Resolves problems associated with all building services including janitorial, conference rooms, workstations as well as interior and exterior furnishings, fixtures, and equipment.

  • Financial experience to include processing of invoices, assisting with budgetary requests, analysis, and reporting

  • Provide general overall FM services including continuous monitoring of the facilities.

  • Perform inspections on all facilities and their surrounding areas for cleanliness

  • Participate as a key team member in responses to emergency situations

  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work

Qualifications

  • Education/training

  • Associates degree in facilities management, business, or another related field

  • 2+ years' experience with facility or property management

  • Professional designation in facilities/property management preferred

  • Skills and knowledge

  • Excellent communication skills both written and verbal

  • Communication skills to include interface with client, contractors, landlords, fellow employees, and visitors

  • Superior customer service skills

  • Ability to always maintain professionalism under stressful situations

  • Ability to plan and manage work under time constraints

  • Ability to multitask and work without direct supervision

  • Ability to find solutions to enhance current processes

  • Strong organizational and time management skills

  • Proficient in MS Office

  • CMMS experience is a plus

  • Physical work requirements

  • Must be able to lift a minimum of 25 lbs

  • Ability to spend much of the day on his/her feet
