JOB SUMMARY

The job of Facilities Supervisor is to perform supervision of all employees in custodial, maintenance and grounds related activities; ensuring compliance with work orders and relevant trade standards; making recommendations for acceptance; ensuring a safe and secure working environment; providing documentation for audit purposes; meeting district, state and federal requirements; and conveying information related to professional requirements, new products, and technology.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Supervises, assigns, schedules and directs work of custodial, maintenance and grounds staff for the purpose of responding to service demands in the district and efficiently completing work.

  • Supervises staff in making necessary repairs to buildings and equipment as directed and reporting those that cannot be repaired to the Superintendent for the purpose of maintaining effective work schedules and workloads.

  • Has the skills and knowledge to assist other personnel for the purpose of supporting them in completion of their work activities.

  • Coordinates with district personnel for the purpose of implementing and maintain services and/or programs.

  • Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality, seamless customer service.

  • Establishes and maintains effective professional and working relationships with students, staff and community members for the purpose of directing and completing the required work.

  • Inspects completed repair work, equipment, work orders for the purpose ensuring that jobs are completed efficiently and meets all safety standards.

  • Coordinate facility use requests and the utilization and scheduling of campus space; coordinate equipment and facility set-up for facility use requests, meetings, conferences, and special events.

  • Manages the districts work order system for the purpose of tracking and efficiently completing work.

  • Participates in meetings, workshops and seminars for the purpose of conveying and/or gathering information required to perform functions.

  • Procures equipment, supplies, and materials for the purpose maintaining availability of required items and completing jobs efficiently in accordance with the district's purchasing policy and procedures (including bid laws, state purchasing contracts, etc.).

  • Coordinates and provides in-service training and instruction (i.e. orientations, required trainings, etc.) for maintenance, custodial and grounds personnel.

  • Serves as the District's Safety Liaison with ESD Worker's Compensation, providing and presenting various program (i.e. safety, maintenance, hazard communication, accident prevention, etc.) for the purpose of compliance, new employee safety orientation and informing staff of appropriate procedures and safe practices.

  • Develops the district's Capital Facilities Plan including long and short-range facility goals/projects in coordination with other departments.

  • Responsible for district surplus equipment and or materials including inventory, sale and disposal as required by district policy.

  • Maintains working knowledge of energy management and computer technology.

  • Maintains a working knowledge of building codes (i.e. fires safety and protection systems, sanitation, fire alarms, suppression systems, fire extinguishers, doors, etc.) local, state and federal requirements relating to facility activities.

  • Monitors and maintains energy management systems on a regular basis (i.e. utility, heating, plumbing, systems as required for efficient functions). Determines ways to maximize production of operational systems at the most economic levels.

  • Oversees the repairs, replacements or construction of systems or equipment that is deficient.

  • Manages the small works roster, and complies with prevailing wage laws.

  • Recruits, recommends for hiring, assists in training, provides in-service, coordinates substitutes and evaluates maintenance, custodial and grounds staff.

  • Maintains inventory of custodial, maintenance and grounds supplies, equipment and tools.

  • Oversees and supervises the maintenance/repair and upkeep of district wide systems including, but not limited to:

  • Heating and Ventilation systems (Air Conditioning)

  • Electrical systems and lighting

  • Alarms and security systems, including crash bars and locks

  • Plumbing, drains, toilets, urinals and septic systems

  • Boilers

  • Building's exterior (windows, doors, walls, outside, etc.)

  • Grounds, including fields, parking lots and lighting, etc.

  • Playground or other outside equipment (goal posts, scoreboards, etc.)

  • Machinery and tools

  • Fire suppression system, including fire extinguishers

  • Bleachers, stage, gymnasium equipment

  • Sprinklers or watering systems

  • Small motors

  • Kitchen equipment or tools

  • Roofs, gutters and related roofing items

  • Propane tanks and hot water heaters

  • Generators

  • Washers and dryers

  • Cement work

  • Furniture

  • Painting or structural repairs

  • Lockers and other storage items

  • Security system, keys, etc.

  • Bells and intercom systems

  • Routinely checks for safe and effective operation of equipment

  • Maintain required processes and reports related to the facility (i.e. water/septic systems, fire suppression, etc.)

  • Responds to emergencies and takes appropriate action for the purpose of attending to the situation in a safe and orderly manner.

  • Responds to requests for emergency assistance (if at all possible), where the immediate repair of a facility, grounds, equipment or related item is necessary.

  • Responds to emergencies (24/7 i.e. alarms, security, emergency repairs, etc.)

  • Responds to inclement weather situations where the immediate repair of the facilities, grounds, maintenance, equipment or related items is necessary.

SUPERVISORY RESPONSIBILITIES

Supervises, schedules, and evaluates custodial, maintenance and grounds staff.

QUALIFICATION REQUIREMENTS: The individual must be able to perform each essential job duty and responsibility satisfactorily. The following requirements are representative of the knowledge, skills, and/or abilities needed to perform the job at a fully acceptable level.

EDUCATION, EXPERIENCE, AND/OR CERTIFICATION

  • Ability to read, perform math calculations, perform oral and written communication at or about the 12th grade level.

  • Valid vehicle operator's license and the ability to respond to emergencies (if possible).

  • Maintains asbestos training (Serve as the Asbestos Administrator).

  • Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities to perform the essential functions of the position.

  • Knowledge of office practices including basic computer skills.

COMMUNICATION SKILLS

  • Ability to write reports and correspondence consistent with the duties of this position.

  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback.

  • Ability to read, analyze, and interpret information.

  • Ability to effectively present information and respond to questions, inquiries, and/or complaints.

  • Displays courtesy, tact, and respect when dealing with others.

MATHEMATICAL SKILLS

  • Ability to perform basic math using whole numbers, common fractions, and decimals consistent with the duties of this position.

REASONING ABILITY

  • Ability to interpret and apply a common sense understanding to a variety of instructions and information furnished in written, oral, diagram, or schedule form.

  • Ability to identify and define problems, collect and analyze data, establish facts, and draw valid conclusions.

OTHER SKILLS AND ABILITIES

  • Skills are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific knowledge and skills required to satisfactorily perform the functions of the job include expertise in three or more building trades and reasonable proficiency in the other trades such as electrical heating, ventilation, air conditioning, carpentry, painting, plumbing, cabinet making, roofing, dry wall repair, etc. Adhering to legal statutes organizational rules, district policies, etc. Adhering to safety practices, data management; operating standard office equipment; planning and managing projects; preparing and maintaining accurate records; using pertinent software applications and properly handling hazardous materials.

  • Maintains appropriate confidentiality.

  • Promotes a harassment-free environment.

  • Establishes and maintains effective working relationships; demonstrates a commitment to teamwork.

  • Provide proper training on the utilization and personal protective equipment of various machines/equipment especially as machines/equipment are upgraded.

  • Ability to react well under pressure, handle and balance multiple demands at one time, work with frequent interruptions, and perform duties and tasks at expected levels of professionalism.

  • Knowledge of Collective Bargaining Agreements.

  • Extensive knowledge of and ability to perform duties in full compliance with all district, Board of Education, state and federal laws, methods, requirements, policies, procedures, and activities pertinent to the duties of this position.

  • Ability to work independently with minimum supervision.

  • Ability to use independent judgment and demonstrates initiative to act without being asked.

  • Trustworthy to be responsible for the security of district facilities.
