Responsibilities:

  • Project Planning and Coordination: Plan, organize, and coordinate facility-related projects from inception to completion. This includes defining project scope, objectives, timelines, and resource requirements.

  • Responsible for being onsite to complete site inspections, site turnover with landlord, city inspections and store set ups and sales turnover.

  • Vendor Management: Collaborate with vendors, contractors, and suppliers to obtain quotes, negotiate contracts, and ensure timely delivery of goods and services. Monitor vendor performance to ensure adherence to project specifications and budget.

  • Inventory procurement: Procurement and sourcing of inventory furniture and products for the projects.

  • Budget Management: Develop and maintain project budgets, track expenses, and ensure projects are completed within budgetary constraints. Identify cost-saving opportunities and alternatives to optimize project expenditures. Works with the real estate department for TI reimbursements.

  • Risk Management: Identify potential risks and issues associated with facility projects and develop mitigation strategies to minimize disruptions and delays. Proactively address challenges to ensure project timelines and objectives are met.

  • Compliance and Regulations: Ensure all facility projects comply with relevant regulations, codes, and standards. Coordinate and meets with regulatory agencies and obtain necessary permits and approvals as required.

  • Communication and Reporting: Serve as the primary point of contact for internal stakeholders regarding facility projects. Provide regular updates, reports, and progress summaries to management and other stakeholders.

  • Quality Assurance: Monitor project progress and quality to ensure workmanship meets established standards and specifications. Conduct inspections and audits as necessary to verify compliance with project requirements. Works with all levels throughout the organization, external vendors, suppliers, and contractors.

Qualifications

  • Proven experience in project coordination or management, preferably in a facilities management or construction environment.

  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.

  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with cross-functional teams and external partners.

  • Proficiency in project management tools and software (e.g., Microsoft Project, Asana, Trello).

  • Knowledge of facility management principles, building codes, and regulatory requirements.

  • Ability to travel 50%.
