POSITION PROFILE

Hours for this position are 9am-6pm, Monday through Friday.

Responsible for assisting in the daily management of assigned facility. The Corporate Facility Services Specialist will perform weekly inspections of building, minor maintenance, move furniture and boxes, conference room presentation set ups. The Specialist must be customer service driven, with a keen eye for detail

JOB DUTIES AND RESPONSIBILITIES

  • Conference Room Set-Ups

  • Set up tables, chairs and audiovisual equipment in conference rooms as defined per calendared meetings. Utilize procedures and guidelines as directed by Site Manager..

  • Collect and discard/recycle items left from previous meetings such as papers, water bottles, etc.

  • Understand and follow the conference room presentation standards as outlined in the set-up guide.

  • Identify and report problems with A/V equipment, including telephones and conference phones

  • Deliver and pick up equipment throughout the campus. When placing equipment in a room, ensure equipment is functioning, focused, and ready to use by customer.

  • Educate business partners and staff in the use of built-in audiovisual equipment and assist in the operation of equipment during meetings as needed.

  • Respond to radio communication from Coordinator and/or Supervisor to assist with A/V and room setup changes.

  • Confirm the completion of any set-up changes throughout the day with Coordinator.

  • Identify and report problems with A/V equipment, including telephones and conference phones Educate business partners and staff in the use of built-in audiovisual equipment and assist in the operation of equipment during meetings as needed.

  • Respond to radio communication from Coordinator and/or Supervisor to assist with A/V and room setup changes.

  • Operations Service requests

  • Complete assigned service requests, including, but not limited to:

  • delivery of keys

  • move boxes within campus

  • relocate furniture

  • movement of grids

  • build rolling/bakers racks, body forms, small store fixtures

  • Complete service requests, inventory, review and prioritize tasks to be completed

  • Coordinate deliveries between vendors, charity pick-ups, and customers while following all applicable building access guidelines. .

  • Perform weekly building inspections as defined by the building inspection checklist.

  • Keep all storage closets organized at all times.

  • Responsible for ensuring that the rain mats are put down and taken up, as weather dictates.

  • Inter-Office Moves

  • Deliver moving boxes and labels as directed by Move Services and/or Coordinators.

  • Assist moves vendors with relocation of computer equipments and boxes.

  • Regular sweeps of areas following a move to collect empty boxes.

  • Perfoms other duties as assigned

QUALIFICATIONS (Education, Experience, and Certifications)

  • High School Diploma or equivalent is required

  • Valid Drivers' License required

  • Ability to walk, stand, kneel, and carry objects up to 50 lbs

As an Operations Coordinator at Latham, you will be responsible for organizing a variety of ongoing services regarding office materials, systems, and equipment. You will promote policies, procedures, and/or regulations to ensure a safe and healthy work environment. The Coordinator will be responsible for coordinating the activities of the Facilities Services team. You will act as conduit to property management for all service needs while accomplishing these and other critical functions: * Coordinating the work of the Facilities Staff, including coordinating schedules and work activities; coordinating shift activities, work flow, and daily functions of the department * Coordinating a variety of administrative duties in order to ensure excellent service within the Operations Department * Assisting Guest Services with conference and reception service responsibilities * Developing process improvement initiatives where overlap exists to create efficient procedures/communications to stream-line processes and satisfy various department needs * Keeping abreast of local and national health and safety standards and regulations for the workplace and ensures compliance * As a member of the Life Safety/Emergency team responsibilities include but are not limited to: following proper notification procedures for any health and safety issue or problem, maintaining and inventorying emergency kits, storing hazardous materials properly, and reporting and/or removing unsafe furniture or materials * Maintaining office ergonomic program; may provide ergonomic evaluations upon request and recommend appropriate adjustments to equipment for the end-user; following up with ergonomic evaluations to ensure alleviation of original condition of end user * Meeting with vendors on a regular basis to address any issues, special requests, and future needs * Receiving incoming supplies and validating against purchase orders for conformance * Processing vendor invoices and maintaining files * Replenishing and requesting supplies through the coordination of purchase agreements with the Supervisor as needed * Maintaining checklist for new hire office set ups * Coordinating the delivery, relocation, and/or set up of office furniture during office moves; coordinating office moves with all relevant parties; performing the physical move of items when appropriate * Coordinating equipment or furniture requested for meetings or special events in a conference room or other designated areas * Scheduling and coordinating office or work station set ups and regular maintenance * Identifying items for repair and making reasonable attempts to fix basic office equipment or notifying proper individual or vendor for repairs * Maintaining tracking system of various security key card information * Coordinating with other areas/departments of the firm where overlap exists to develop efficient procedures/communications to streamline processes and satisfy various department needs * Coordinating or assisting with special projects on various issues as needed * Monitoring available stock of furniture and fulfilling requests for additional furniture or equipment * Maintaining office floor plans and keeping plan current with moves and changes * Promoting effective work practices, working as a team member, and showing respect for co-workers As an Operations Coordinator, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude.
