Job Description:

Provide general facilities and office service functions in Brea that include maintaining Corrigo work order services, issuing requisitions, processing invoices to accounts payable, overseeing third party suppliers and other, as required.

Administrative Function

  • Manage and maintain facility tasks as assigned.

  • Serve as liaison contact for Beckman.

  • Issue and manage requisitions and purchase orders.

  • Process AP, AR, and track budgetary spend.

  • Maintain office services vendors and contracts for 3rd party services.

  • Provide support for Black Out meetings and conference room reservations as needed and directed.

  • Assist with the coordination and scheduling of maintenance activities.

  • Front desk responsibility, as needed.

Office Aesthetics and Supplies

  • Perform daily walk around utilizing a checklist (beginning, middle, and end of day)

  • Address aesthetics issues in a timely manner

  • Stock kitchen areas with supplies (coffee, tea, condiments, napkins); monitor and maintain inventory.

  • Ensure services are performed daily for remove trash daily and refrigerators as scheduled with janitorial supplier.

  • Maintain a clean, safe, and secure working environment.

Communication and Relationship Coordination

  • Act as an interface with client, visitors and guests and ensure appropriate follow up with customers

  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption

  • Provide friendly and accommodating service within parameters of role

  • Maintain office policies, as necessary.

  • Handle internal customer inquiries and concerns through Corrigo Work Orders platform.

Mail Organization

  • Sort, collate mail and distribute mail in proper mailroom slots

  • Resolve issues with incorrect, returned mail.

  • Coordinate with associates regarding pick-up of mail and/or packages.

Compliance and Continuous Improvement

  • Any and other duties as assigned.

  • Responsible for proposing standards and promoting activities that enhance operational procedures within the offices.

Job Requirements:

Qualifications:

  • High School diploma or GED equivalent

  • 5-7 years of previous Facilities, Office Services, Purchasing, Inventory Control or Customer Service experience

  • Strong communication in English (reading, writing, and verbal)

  • Experience in MS Office; Word, Excel

  • Experience with Facilities software system Corrigo is a plus

  • Ability to plan and manage work under time constraints

  • Ability to multitask and work without direct supervision

Target Market Salary Range:

Actual compensation packages take into account a wide range of factors that are unique to each candidate, including but not limited to geographic location; skill sets; relevant education and certifications; depth of experience; performance; and other business and organizational needs. The disclosed reasonable estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At Envista, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. The total compensation package for this position may also include an annual performance bonus, medical/dental/vision benefits, 401K match, and/or other applicable compensation plans.

$25.40 - $30.10 per hour
