Overview
GENERAL SUMMARY OF POSITION:
Under the direct supervision of the Director of Facilities Maintenance or designee, the Facilities Materials Coordinator purchases, inventories, distributes and accounts for all inventory stock items, for all Worcester campuses. The Facilities Materials Coordinator is responsible for generating all bid lists and interacting with Purchasing, until completion, on all bids. These include plumbing, electrical, mechanical, painting refrigeration and construction items, including all tools used by all trades.
Responsibilities
MAJOR RESPONSIBILITIES:
Maintain database for the correct quantities (minimum/maximum) in the inventory
Purchase, receive and distribute all stock items. Insuring all tracking paperwork and invoices are correct.
Maintain stock for use, restock and monitor inventories
Responsible for operation of computerized Facilities inventory database; provides monthly status reports to all sections
Directly responsible for maintaining inventory directly for all Facilities Departments to include description, stock number, cost, vendor and minimum stocking levels
Prepare and monitor all material bid specifications, working with Purchasing Department
Responsible for Material Requirements Planning (MRP); coordinates requirements with daily usage reports.
Investigate vendor pricing to ensure compliance with all policies and procedures of procurement
Participate in bi-weekly Maintenance Supervisors meetings to plan short term (month) and provide material costs estimates for proposed projects
While in the performance of routine duties; may be required, as needed to perform all work associated with all maintenance trades of an equal or lower grade classification; where the work or task does not require a specific license
Perform other duties as required.
Qualifications
REQUIRED QUALIFICATIONS:
High school diploma or equivalent experience
2 years of related experience
Ability to use Credit Cards for purchases of materials and balancing budgets
Knowledge of maintenance terminology and tools used by all trades
Knowledge of basic bookkeeping and mathematics, word processing, technical terminology appropriates to department functions
Knowledge of basic PC computerized data management system including report generation
Experience in Database systems including report generating
Strong organizational and interpersonal skills, effective oral and written communication skills necessary to interact with all levels of personnel, both within and outside the Medical School
Ability to travel to off-site locations.

ENVIRONMENTAL WORKING CONDITIONS:
May perform work in all Medical Center facilities and is subject to possible exposure to chemicals, gases, electrical shock; may work in confined spaces on ladders. Ability to perform physically arduous tasks; normal dexterity, visual acuity, ability to lift up to 50 lbs., ability to climb and work from ladders and scaffolding, and work in confined areas
