RESPONSIBILITIES

  • Strategic and decisive direction of overall office activities and facilities operation, including the reception area, workspace planning, dcor, etc.

  • Manage the front desk receptionist in the upkeep of cleanliness, appearance, and functionality of the office

  • Manage relationships with various vendors, such as catering, security, parking, maintenance, etc.

  • Oversee office processes, inventory, repairs, and maintenance

  • Handle negotiations, purchasing, and office budgets

  • Arrange and track facilities day-to-day operations, such as building access keys and new hire set-up

  • Primary point of contact for ergonomic needs and workplace health and safety initiatives

  • Be a team player willing to take on projects and willing to learn and teach

  • Improve and/or implement new processes to constantly improve flow and function of the office

QUALIFICATIONS

  • 4 years of office/facilities management

  • BA/BS degree required

  • Experienced in managing complex projects

  • Ability to manage contractors, vendors, landlords and employees

  • Highly organized and able to multi-task

  • Highly discrete, proactive, and aware

  • Outstanding written and oral communication skills

  • Desire and ability to work collaboratively in a small group dynamic

  • Passion, patience, and enthusiasm for people operations, events, and culture

  • A sense of humor, creativity & fun!

Under the supervision of the Facilities Manager, the Facilities Coordinator will be responsible for assisting with the maintenance and operations of the corporate offices of the Company. JOB SUMMARY * Performs and/or supervises the upkeep of the building and surrounding facilities property. * Oversees conduct of all facilities vendors performing facilities/landscape related activities. * Interfaces with management to comply with Security, Cleaning, and Maintenance functions. * Oversees cleaning personnel/vendors to ensure the professional character of buildings/offices, clean and highly maintained at all times. * Performs routine inspection of office areas, parking areas, security equipment, mechanical spaces, dumpster location, landscaping and rooftop areas. * Performs preventive maintenance tasks on facilities support equipment. * Oversees any outside contractor/vendor performing tasks on property or in building. * Assists department managers with daily requirements or needs as requested. * Effectively trains, coaches, and leads facilities team. * Handles routine inquiries for maintenance requests and prioritizing requests. * Reviews, follows and performs checklist actions for all equipment in compliance with established work instructions and adherence with SOPs. * Assists with procurement of equipment and materials related to facilities and order miscellaneous maintenance-related materials for inventory, as needed. * Works closely with the Facilities Manager on any immediate security or safety concerns. * Responds/manages building/office emergencies - fire drills, power outages, weather-related hazards or alerts, liquid spills, plumbing issues or incident clean up. * Performs other related facilities duties as assigned. KNOWLEDGE, SKILLS, AND ABILITIES: * Three or more years? experience with facilities management ? * Experience developing and managing budgets or creating department financial plans * Ability to prioritize and manage several projects simultaneously, coordinate necessary workflow; update and chase delegated tasks to ensure progress to deadlines? * Advanced knowledge of building maintenance, construction, renovation practices and methods, building codes and regulations? * Knowledge of building systems such as electrical, plumbing, HVAC, IT/AV systems?? * Knowledge of current federal, state and local law and regulations in construction/facilities management, safety and operations?? * Knowledge of local/state building codes, health, and safety requirements?? * Valid CA Driver?s License with a clean driving record?? * Demonstrated track record of facilities management and project management skills * High degree of problem-solving and decision-making ability?? * A self-starter who can work independently with little or no supervision?? * Weekend and evening hours may be required? * Some travel may be required * Strong working knowledge of Microsoft Office and facilities related software, including programs for Project Management & Cad software? * ?Effective written and oral communication skills with ability to compose routine correspondence???
