Financial Credit Union (FFCU), a Southern Californian based financial institution, is seeking a highly skilled and experienced Facilities Manager to join its team onsite at FFCU's new operations center in Pasadena. As the Manager of Facilities, you will be responsible for managing and maintaining all aspects of our facilities to ensure they are safe, efficient, and well-maintained.
Job Responsibilities
Manages duties and responsibilities of all Facilities Specialists.
Customarily and regularly directs the work of the Facilities Team.
Has the authority to hire and performance counsel employees. Further, may recommend the firing and the advancement and promotion or any other change of status for assigned employees, which will be given particular weight and consideration.
Customarily and regularly exercises discretion and independent judgment as it pertains to Facilities.
Motivates, trains and develops staff.
Oversees Corporate building and Branch offices' maintenance including participating in vendor negotiation/contract agreements for janitorial and other maintenance services; ensuring vendor work is completed in accordance with contracts
Manages the facilities department and assure the proper maintenance of equipment including copiers, fax machines, scanners, general office equipment, and fitness center equipment
Responding to requests for service from employees and resolving related problems
Maintains contracts and associated documentation; ensures equipment is serviced as scheduled and repaired as necessary; ensures supplies are available, and meter-reading deadlines are met
Manage the processing of mail, shipping & receiving, copy services to ensure pickup and delivery of inter-office, courier and outside mail is made in accordance with schedules
Coordinates requests for moving furniture and equipment for Corporate Center and Branch offices
Controls and monitors security of Corporate Center facilities; controls and issues keys and codes
Maintains and updates corporate key log as needed
Monitoring and maintaining an attractive appearance for Corporate Center facilities and Branch offices
Providing 24 hour on-call contact information to police, fire, alarm and appropriate vendors
Reviews and approves invoices for utilities, maintenance and other contracts and other payables for accuracy and completeness
Participates in the development of the annual budget; reviews expenditures for compliance with budgets; completes monthly budget variance report.
Controls and monitors security of Corporate Center facilities
Maintains master schedule for Corporate Office training rooms; ensures room setups are made as requested
Develop, update, and maintain facilities operating procedures.
Researches new methods, materials, services and equipment that would benefit the Credit Union in terms of efficiency or cost savings
Gathers and analyzes data and prepares various routine and special reports as required
Serves on the Safety and Security committee and has direct involvement in the implementation of any changes to the facility that are deemed necessary
Completes or attends required compliance and/or industry training as assigned
Performs all duties in compliance with laws, regulations, Credit Union policies and procedures
Must comply with all BSA and OFAC regulations

Qualifications, capabilities, and skills
High School graduate or equivalent. College degree preferred.
Working knowledge of facilities maintenance and related CAL/OSHA regulations
Strong knowledge of facilities management, maintenance, and procedures
Working knowledge of mail services and US Postal Service regulations
Strong organizational and follow-through skills, must be able to work independently and to prioritize tasks and projects
Working knowledge in Excel, Word, PowerPoint, and Outlook
Basic accounting skills to prepare and monitor annual budgets
Effective oral and written communication skills
Strong planning, organization and administration skills
Must be in good physical condition and able to lift up to 75 pounds
Ability to travel to various branch locations
Minimum of 3 years of Facilities/Building Operations/Property Management related work experience in an office environment
Certification in CPR, AED, and First Aid preferred
Must have a valid California driver's license and good driving record
Proven leadership through effective communication, coaching, training and development
