The Facilities Manager is responsible for managing all engineering and maintenance operations including maintaining building and grounds.


  • Manages Engineering department, including scheduling team members to ensure adequate coverage is available.

  • Responsible for all aspects of maintenance equipment, refrigeration, HVAC, plumbing, water treatment, and electrical systems.

  • Maintains and operates equipment at optimum effectiveness, efficiency and safety.

  • Ensures compliance with all Facilities department policies, standards and procedures.

  • Creates and manages department's budget.

  • Orders and purchases new equipment, supplies and furnishings.

  • Recommend or arrange for additional services such as painting, repair work, renovations, and the replacement of furnishing and equipment.

  • Maintains accurate logs and records are required.

  • Empowers facilities team members to provide service to all guests and coworkers.

  • Must be able to work flexible hours including weekends and holidays

  • Maintain neat and friendly appearance at all times inclusive of all job areas, using cover clothing when needed to maintain clean appearance.


Multiple years experience in Facilities Management preferably in Hotels or Casinos.

Job Summary We are looking for an experienced Facilities Manager who will take on the management of key client projects with the goal of delivering every project on time, within budget and within scope along with the supervision of common area maintenance operations and contracted vendors to ensure quality customer service is provided to the client, maintenance of facilities at a maximum level, and oversight of vendors for quality control and adherence to contracts. Responsibilities The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty. * Coordinate internal resources and third parties / vendors for the flawless execution of projects. * Ensure that all projects are delivered on-time, within scope and within budget. * Initiates preparation and tracking of all project reports, work orders, purchase orders and invoices as applicable and submit to appropriate channel for review and/or approval. * Create work orders where needed and follow up accordingly ensuring all records are complete and accurate. * Project completion as assigned by community manager and/or board of directors. * Keeps track of insurance, business license documents and contracts for vendors who work in the community. * Decision making responsibilities for safety, homeowner relations and policy/vendor issues. * Prepares proposals and reports as needed to submit to the Board of Directors and/or General Manager for Board Meeting preparations. * Serve as reporting hub for project and vendor related issues and distribute them to appropriate people after prioritizing. * Perform walk/drive through inspections of the property on a daily basis and/or as directed by management or the Board of Directors or as required by the project to ensure all aspects of a contract and/or job expectations are met, including but not limited to: safety, budget, timeline, and quality. * Ensure application of all necessary safety procedures and legal compliance. * Coordinate and attend as requested designated meetings or functions. * Responsible for creation and implementation of a Procedural Manual, and any other duties that may be required by staff. * Update and keep Facility Maintenance manuals current. * Review all general sub-contractor correspondence. * Develop a detailed project plan to monitor, track and report on progress. * Prepare accurate monthly reports for input to the board of directors and community manager. * Report and escalate to management as needed. * Assist in the definition of project scope and objectives and the creation of Requests for Proposals, including any license / certification requirements for affiliated projects. * Manage changes to the project scope, change orders, project scheduling and project costs using appropriate verification techniques. * Ensures changes are properly tracked and invoiced in a timely manner. * Collaborate on the recreational and facility budget preparation, and capital expenditure recommendations as requested. * Responsible to ensure walkthroughs of all facilities are completed regularly, and to direct responsible vendors for repairs in accordance with budget guidelines. * Responsible for quotes for facility/asset maintenance per reserve study, and other items as deemed necessary. * Provide input to supervisor for changes in maintenance, repairs, purchases or policies that may benefit the Corporation financially, decrease liability, or enhance homeowner satisfaction. * Other items that may be required as part of job description based upon Board of Directors' requests/FirstService supervisor, or as deemed appropriate. * Apply a pro-active approach to all areas of responsibility and strive for continued improvement and excellence throughout. * Responsible for completion of applicable punch list items, and delegate where applicable to staff. * Follows safety procedures and maintains a safe work environment. * Follows quality system procedures. * Must have reliable transportation and be able to drive to other work locations. * Represent professionalism and FirstService's standards of operations to clients and staff at all times. * Ensure all customer service calls and related work orders are handled in accordance with established procedures. * Personnel matters regarding - office etiquette, work schedule, responsiveness/relation with vendors and homeowners. * May directly supervise a minimum of 1, part-time and/or full time inspection staff. * Respond to all correspondence in a timely and professional manner. * Other duties as assigned Requirements & Skills To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. * College degree in related field preferred. * Has a minimum of five years of experience in property management, HOA management and/or project management or closely related field preferred. * Construction industry and / or engineering experience preferred. * Has a minimum of two (2) years supervisory experience. * Ability to exchange and receive information through written and oral communications. * Must be able to speak in a clear and understandable voice so that communications are understood clearly to all whom are communicated with. * Able to see well enough to read faint or partially obscured writing or printing, with or without corrective lenses. * Must be able to drive appropriate vehicles and possess the necessary driver's license required by the state. * Must be able to work in small and confined spaces for extended periods of time. * Must be able to interact with all types of personalities, be alert, detail oriented and with good reasoning skills. * Must be able to work extended hours, holiday and on weekends if required.
