Facilities Maintenance Manager

The Facilities Maintenance Manager is responsible for supporting over 200 clinics with a wide range of maintenance needs. This individual works effectively with national, regional, and local contractors to ensure services rendered meet requirements for cost, timeliness and quality in compliance with regulations and contractual obligations. We will consider remote or on-site (Franklin, TN).

Essential Functions:

  • Function as single point of contact for hard and soft facility maintenance needs to include plumbing, electrical, HVAC, hot water/systems, parking lot, roof, floor, door/window and other similar services.

  • Intake maintenance issues from clinics and work with clinic personnel to support local solutions or provide the solution.

  • Assess/inspect the condition of service equipment and evaluating per lifecycle to determine if repair or replacement is most appropriate.

  • Leverage understanding of cut sheets and manufacturer recommendations for servicing equipment.

  • Work with contractors and internal teams to provide necessary insight and input on schedule, cost, and complexity for any major maintenance needs.

  • Manage timeline, vendor installs and financial aspects of maintenance services.

  • Practice sound inventory management.

  • Manage vendor sourcing, and performance/outcomes, and relationships for professional consultants and outside vendors related to facilities

  • Utilize excellent communication skills, both verbal and written, to work effectively with multiple levels of the organization and with external contractors.

  • Prioritize multiple projects of varying scope and budgets to achieve tight

  • Assist with creating and maintaining short and long-term facility strategy for maintenance.

  • Review and approve consolidated invoices from service vendors to ensure contract compliance and to resolve billing issues.

  • Negotiate contracts, subcontracts, and purchase orders to assure that all project goals are being addressed.

  • Handles patient information with discretion and sensitivity and maintains HIPAA

  • Performs other duties as assigned.

Position Type, Expected Hours of Work & Travel:

This is a full-time, remote or on-site (Franklin, TN) position. Days and hours of work are Monday through Friday, between the hours of 8:00 a.m. to 5:00 p.m. Some travel may be required for this position, less than 10% of the time.

Required Education and Experience:

  • Bachelor's degree in related field.

  • 5+ years managing facility maintenance in a multi-site scope, healthcare preferred.

  • 3+ years of contract/bid negotiations with external vendors.

  • Experience writing or performing preventive maintenance on a variety of building service equipment.

  • Strong knowledge of preventive maintenance practices and familiarity with HVAC and life safety systems.

  • Familiarity with duration, cost and necessary skills for standard maintenance tasks.

  • Demonstrated success in applying best practices across sites.

  • Data analysis skills to deep dive costs and benchmarking.
