POSITION SUMMARY

The Facilities & Mailroom Coordinator will report directly to the Facilities Supervisor and take charge of the day-to-day operations of our bustling mailroom and support facility maintenance. This role will support various internal departments with their material handling needs, making the position a versatile and engaging opportunity. To thrive in this role, our Coordinator must be able to lift heavy loads and be on their feet often to meet the needs of our facility. This position is part-time, working onsite for 3 days a week.

RESPONSIBILITIES

  • Receive, sort, and delivers incoming mail and shipments for the company including shipments for conferences and various events nationally

  • Prepares all outgoing mail, shipments, and express deliveries daily as requested, including sizeable weekly mailings as projects require

  • Maintains and stocks all break rooms and snack stations with required supplies (plates, cups, coffee, etc.)

  • Assist with setting up meeting rooms

  • Provides assistance for moving heavy loads and internal office moves

  • Regularly ensures printer and copier stations are stocked with paper, toner, and supplies

  • Assist with the delivery or retrieval of materials from the offsite storage when needed

  • May need to assist with painting, changing lightbulbs, and interacting with vendors, custodians, or property management workers at the request of the facilities supervisor

QUALIFICATIONS

  • Has a good working knowledge of best mailing practices for U.S. postal functions, domestic and internationally

  • Working knowledge of general office equipment such as copiers, fax machines, Pitney Bowes mail machines

  • Experience with FedEx shipping software

  • Basic knowledge of Microsoft Office Suite

  • Good written and verbal communication skills

  • Ability to effectively and clearly communicate with people from all levels of the organization, including staff, vendors, and clients, both on a one-to-one basis as well as with small groups.

  • Flexible and engaged with a can-do attitude

  • Strong customer service skills with a commitment to excellence

  • Must have a reliable attendance record

  • 2 to 3 years of experience in a mailroom and facilities capacity

  • Ability to lift and move up to 50 pounds on a regular basis

  • Easily understands written and verbal instructions yet comfortable asking questions to ensure tasks are completed according to expectations

TOTAL COMPENSATION RANGE

$19 - $21 hourly + 6.5% Bonus (salary based in San Diego, CA)

JOB LOCATION & SCHEDULE

This is a part-time role, working 3 days onsite per week in our San Diego office.
