As part of the O&T Facilities Team, you'll be responsible for project coordination supporting and enabling efficient project execution for three groups: project managers (PM), O&T Finance, and Facilities.

Here what you'll do in this role:

  • Embedded in the Facilities organization, you will liaise between Facilities, Sourcing, Finance, AP and external business partners.

  • Enter orders into a purchasing program, track approvals and follow up; work with Sourcing on purchase order creation; document and track all orders, invoices, and payments in Excel.

  • Process high volumes of invoices; validate for accuracy and compliance with company policies; confirm orders are fully received or completed before releasing payment.

  • Work with vendors and/or AP for invoice revisions as-needed.

  • Maintain up to date tracking on the financial tracking sheet of project expenses, receiving, and miscellaneous spending. Communicate any risks or issues with operations and finance.

  • Submit new vendor setup requests and vendor record modifications.

  • Assist finance team in month-end and quarter-end close.

  • Support project managers and asset management team as needed.

  • Other duties as assigned.

Qualifications/Requirements

You are proficient in, and have experience with, MS Office (particularly MS Excel, MS Outlook, MS Word).

At least two years' experience in a PO processing, Facilities, or business-facing Finance role.

Bachelor's degree or commensurate work experience.

Extremely detail oriented.

Able to collaborate with multiple business partners, as this is a highly collaborative role.

Ability to manage and balance multiple priorities as well as troubleshoot and problem solve.

Experience with SAP a plus.
