Primary Responsibilities:

  • Under general supervision, the Facilities Operational Assistant serves as a Dispatcher for the Maintenance team. You will be working closely with the maintenance Technicians to trouble shoot issues related to the property and dispatch them accordingly

  • In addition, the Department Assistant Receptionist provides direct support to end users on a variety of issues, such as identifying, researching, and resolving facilities problems and responding to personnel requests for facility support by phone or via email

  • To ensure service levels are maintained and are done in a timely manner, the Department Assistant Receptionist will document, track and monitor problems as well as create and manage escalation procedures

  • Provides support for the corporate mail room function and serves as a team member on assigned projects, assisting with communication coordination, documentation and recordkeeping

  • Serving as the receptionist for all departments in the building. Signs-in visitors according to policy and operates main phone line for the building

  • Responsible for postage meter utilization, distribution of incoming/outgoing mail and the distribution of supplies and packages Maintains conference room schedules, sets appointments and conference calls, creates phone relief schedules and places refreshment orders for meetings

  • Responds to telephone calls, email and personnel requests for technical support

  • Utilizes ServiceNow to enter and track work orders

  • Responds to user with receipt confirmation of work orders and collects additional information as necessary

Required Qualifications:

  • High school diploma or GED

  • 1 year of customer service experience

  • 2 years of clerical experience

  • Experience with Microsoft Office computer software programs to include word processing, spreadsheets, graphics and email applications

Preferred Qualifications:

  • Advanced training in secretarial sciences and computer training

  • Bilingual language (English/Spanish) proficiency

  • Strong customer service background

  • Strong organizational skills, attention to detail, and ability to prioritize projects in a multi-task environment

  • Able to utilize judgment while maintaining a degree of creativity

Maintains accurate files and records. Composes and edits correspondence and memoranda; prepares and distributes minutes of meetings. Types, collates, copies, produces graphs/charts, professional presentation materials and prepares other required reports as needed. Coordinates travel arrangements, meetings and events. Prepares and coordinates on/off site meetings and events including hotel arrangements, catering, audio/visual needs, etc. Coordinates various projects and activities. Executes special or continuous research and moderately complex data analysis. Maintains calendar and appointment scheduling for assigned management. Coordinates travel arrangements for management. Performs liaison functions with other departments and staff when appropriate. May represent the Company at promotion of community events. Performs other duties as requested by supervisor.
