Responsibilities

As a Facilities Coordinator with Hines, you will perform advanced administrative duties related to the management and operation of a client's facilities by providing a work environment consistent with their culture and high standards. Responsibilities include, but are not limited to:

  • Quality assurance of work performed by vendor partners

  • Implement client's standard operating procedures

  • Perform site inspections

  • Provide response and coordination of resolution for specific facilities requests

Qualifications

Minimum Requirements include:

  • High school diploma or equivalent from an accredited institution

  • Two or more years in an administrative support role in a professional office environment

  • Intermediate knowledge of Microsoft Office

  • Strong initiative and customer service orientation

VIEW JOBS 4/24/2019 10:40:58 AM 2019-07-23T10:40 FosterThomas, Inc. is a leading HR Consulting and Talent Acquisition Firm.  We are currently conducting the search for a <strong>Sustainable Facilities Coordinator</strong> for our client, <strong>Friends Committee on National Legislation (FCNL)</strong>, based in <strong>Washington, DC.</strong><br /> <br /> The Facilities Coordinator will be responsible for all aspects of the stewardship, maintenance, and building operations at FCNL's three Capitol Hill properties: FCNL's 11,000 square foot green office building at 245 2nd Street, NE the adjacent 3,500 square foot residential property, 205 C Street, NE, in which the Quaker Welcome Center is located, and additional office space at 518 C Street NE.<br /> <br /> FCNL’s office building was renovated in 2005 to make the building safe and to witness commitment to environmental sustainability. This was the first building on Capitol Hill to obtain LEED Certification. The building has geothermal wells for heating and air-conditioning and was built with renewable materials, including floors and drywall.  A green roof is also maintained on this building.  The renovation of the 205 C Street NE building was completed in 2017.  It is a historic structure that will continue to function primarily as residential property and which also provides program options for FCNL in the Quaker Welcome Center.  The continued growth of FCNL staff requires additional office space and the organization has leased 4,000 square feet in an office building three blocks from the 245 2nd Street NE office building.<br />  <br /> <strong>The Position </strong><br /> The Sustainable Facilities Coordinator provides day to day operational support for the physical health and safety of employees and guests.  On an on-going basis, the Coordinator assesses the conditions and up-coming needs to keep building spaces operating at appropriate effectiveness. <ul> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Oversee all aspects of day-to-day building operations for all three spaces as clean, safe, well-maintained and environmentally sustainable work spaces for employees, volunteers, committee members, tenants and visitors.  This includes development and management of operating budgets and management of vendors for maintenance, security, inspections and other needs. <ul style="list-style-type:circle;"> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Ensure that buildings and spaces are secure, that access to building (fobs) are current and keys for all spaces are available as needed.</li> </ul> </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Oversee building maintenance and repairs and develop schedule of major repairs and renovation in the future.  Actively work with vendors to achieve best possible results and to keep costs reasonable.  The office building is in need of important but not urgent maintenance.  Coordinate summer deep cleaning and rearrangement of staff as necessary to accommodate Young Fellow program.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Continuously identify and implement changes for energy systems and utilities in order to reduce carbon footprint and save money for the organization.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Analyze and adjust current vendor arrangements as needed, e.g., heating and air conditioning system maintenance, elevator service, waste disposal, landscaping, cleaning services, security and furniture procurement.  Recommend and implement best practices for sustainable building management.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Assess current HVAC systems and other energy uses to maximize effectiveness and efficiency of systems and equipment.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Monitor solar collection arrays and roof gardens to assure functionality so that the maximal positive environmental impact is achieved.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Track and interpret benefits of sustainable building practices for legislative and educational programs.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Supervise the building operations at 205 C Street NE, including the tenant rental floors and the Quaker Welcome Center, to maintain and maximize the environmental features which have been installed and to ensure that the building usage is sufficiently supported.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">The space at 518 C Street NE is part of a separately managed building, so the Facilities Coordinator will work with owner maintenance and building operations department.  All internal furniture, environmental and staff needs will be resolved by the Sustainable Facilities Coordinator.</li> </ul> This position reports to the Associate Executive Secretary for Business Operations.  This position is supported by the Office Coordinator, who is responsible for the reception desk, supply inventory maintenance and catering functions.<br />  <br /> <strong>Experience and Attributes</strong> <ul> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Five or more years of experience as a Facilities Coordinator (or similar position) in an organization which owns its own buildings, managing all aspects of building maintenance, repairs, and management of rental property.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Knowledge of and experience in sustainable building practices.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Experience developing and managing operations and capital project budgets for leadership approval.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Proactive problem solver and familiarity with using technology to support efforts.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Self-reliant and able to take initiative.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Systematic and well-organized; attends to details and meets deadlines.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Assertive and able to facilitate group processes to develop good cooperation efforts in a small but complex organization.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Consultative, collegial, a problem-solver and problem-preventer.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Familiar with Friends organizations, concerns and practices; comfortable working within a faith-based organization.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Ability to handle a variety of tasks, shifting rapidly from one to the other; completes tasks competently. </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Comfortably handles logistics and administration of events planning.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">General interest in legislative issues and public policy; comfortable with FCNL statement of legislative policy.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Ability to handle light physical tasks, including lifting boxes and moving furniture.</li> </ul> <strong>Compensation and Work Expectations</strong><br /> Salary is commensurate with experience.   This is a full-time exempt position, based on a 37.5 hour work week. In addition to being present during business hours, the individual in this position is required to be on-call,  so additional time may be spent dealing with after-hour emergencies, moves and other projects.   Some compensatory time will balance evening and weekend work.
