What You'll Do

Reporting to the HR Business Partner, you will be the expert in supporting Dyno Nobel by directly performing facilities and other administrative duties including front office support in the Corporate Office. You will be responsible for supporting all internal/external customers in a professional, safe, and efficient manner consistent with Dyno Nobel Americas (DNA's) mission, vision, and values. This position will perform, coordinate, and plan essential facilities and administrative services by focusing on the following


  • Serve on Dyno Nobel Health and Safety Council

  • Maintain safety within facility ie. First Aid kids, Fire Extinguisher, AED, Evacuation Maps, help coordinate trainings with Health and Safety team

  • Oversee office layout

  • Desk and office movement
  • Manage distribution and centralization of all facilities keys in key box and sign out/in log

  • Order office supplies, equipment and repair as needed. Maintain stockroom

  • Maintain breakrooms and conference rooms ie. Supplies and cleanliness

  • Plan and/or assist with in-house or off-site activities such as parties/events and conferences

  • Prepare and track facilities maintenance budget; monitor all expenses and payments

  • Approve and schedule office work and service requests. Document all service requests and office complaints

  • Manage contract, price negotiations, purchase orders and invoicing with office vendors, service providers

  • Liaise with facility management vendors, including coffee service, plant & flower service, janitorial service, shredding service, catering and security services

  • Establish and exhibit proper vendor/contractor/property manager relations

  • Oversee general maintenance schedule

  • Research vendors and obtain quotes as requested

  • Manage corporate vehicle and maintenance

  • Outside errands as needed


  • Manage the Service Award Program for US, Dyno Nobel Transportation and CanadaEnsure compliance with governmental tax and company gift policies/regulationCompile and input pertinent information into quarterly spreadsheets

  • Coordinate printing and execution of service certificates (quarterly)

  • Receive and manage Service Award order forms

  • Purchase gift cards and track until receipt confirmed by employee

  • Handle all Service Award related questions

Reconcile Purchasing Card Expenditures:

  • General office supplies/departmental orders

  • Related Service Award expenditures

  • Facilities and business cards

Business Cards:

  • Manage and approve card submissions for accuracy and uniformity

  • Arrange shipping to appropriate employee

Assist and Support the Front Desk Receptionist as needed:

  • Answer switchboard, direct calls to appropriate person or location

  • Answer and manage e-mails

  • Handle incoming and outgoing mail: USPS, FedEx, UPS, and DHL packages

  • Greet and assist incoming visitors

  • Manage logbook; safety liaison for guests and visiting employees (security)

  • Issue, track and audit visitor badges (security)

  • Generate, maintain and distribute updated phone lists and main company directory

  • Coordinate visitor office and conference room requests

  • Facilitate and assist with catering for meetings

  • Implement Green practices - office supply purchases, recycle bins, magazine cancellations

  • Account and handle petty cash

  • Assign guest WIFI access

What We're Looking For:

  • High School diploma required. Bachelor's degree preferred

  • Minimum 5 years of experience in professional office administration

  • Computer literacy in Microsoft Office 365, Word, Excel and PowerPoint.

  • Working knowledge of SAP preferred

  • Proven experience in process improvement, application and knowledge of business practices and procedures

  • Communicate effectively. Speak, listen and write in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques

  • Must be self motivated and be able to work independently as well as in a team

  • Display problem solving skills. Assess situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem

  • Positive attitude, friendly demeanor, and a team player

Duties may involve forklift work * Assists in installing, repairing, and maintaining systems furniture such as Steelcase furniture. * Replaces light bulbs & florescent tubes as needed. * Performs service duties for tenants of building such as hanging pictures and shelving, minor repairs to furniture and office equipment, etc. * Operates computerized lighting programmer. * Inspects the building for problems such as leaks or malfunctioning equipment. * Cleans up spills and other types of emergencies as necessary. * Cleans and maintains the walks & parking lots, including shoveling snow. * Responsible for communicating clearly and coordinating with customers, building management, shops, etc. * Performs housekeeping duties in storage and mechanical areas. * Other duties as assigned by management. Qualifications * High school graduate or equivalent required * One year trade school classes or equivalent schooling and two years working experience in related field required. * Must be familiar with heating, air conditioning, electrical, mechanical and custodial systems. * Must have a mechanical aptitude, being able to safely and effectively use a variety of tools. * Must pass all required safety and equipment certifications and trainings * Must be able to work in a professional manner with others as well as alone without constant supervision * Must be able to stand, walk, bend, kneel, squat, climb, push, and pull for extended periods of time * Must be able to safely work from ladders, scaffolds and mechanical lifts and other high locations for extended periods of time * Must be able to independently lift objects weighing as much as 50 pounds on a regular basis.
