We are currently seeking a Facilities Coordinator to work in our Philadelphia, PA, Blood Services facility.
This is a full-time, non-union position, working M-F, first shift. Position does not include on-call responsibilities.
Under limited supervision, the Facilities Coordinator will provide facilities administration support in the management of ARC properties, facilities, vendor contracts, specialized systems, and security functions. Direct and conduct maintenance and repair of buildings, labs, offices and grounds. Provide support, development and/or leadership guidance to all volunteers.
Perform all duties and responsibilities in compliance with standard operating procedures and other applicable Federal, State and local regulations.
Specific Job Duties: will serve as right-hand person to the Supervisor, stepping up as needed; manage the facilities work order system to prioritize facilities work, to include managing the database and communicating with Facilities staff (will manage up to 120 work orders per week); payment of invoices; put vendor contracts out for bid; manage basic fleet maintenance service.
1.Maintain facility related contracts and renewal of contracts. May also be responsible for maintaining fleet and transportation related contracts.
2.Research and compile data and prepare analysis or reports as required. Archive records and manage vehicle maintenance reports. May manage invoicing, track rentals and gas cards for the Dept. of Transportation, and maintain transponders for fleet vehicles.
3.Oversee and maintain facility maintenance work-order system to include coordination and timely submission of work orders and provide maintenance dispatch for emergency requests (housekeeping, staff requests or vendors). May monitor transportation software, keeping files up-to-date and tracking monthly logs.
4.May perform facility safety and fire extinguisher inspections, schedule fire drills, and maintain safety documentation. May monitor security surveillance system, oversee emergency generator, and create/issue security access cards. May serve as member of Facility Safety Committee and assist with management of Contractor Safety Program.
5.Provide administration support to include coordination and preventative maintenance schedules, ordering department supplies, record and log maintenance, and coordination and submission of work orders. May serve as backup for receptionist duties, generate accounting vouchers, administer facility telephone system, and serve as point-of-contact for cell phone management. May receive regulated supplies and handle bio-waste pick-ups, supplies and destruction manifests.
Education: High School or equivalent required. Degree preferred.
Experience: Minimum 5 years of related experience or equivalent combination of education and experience required. Required experience with computers and prior experience with work order management software preferred.
Skills & Abilities: Aptitude to work with figures and excellent verbal and written communication skills, and the ability to interface with a variety of audiences, both internally and externally.
Working knowledge of MS Excel and Word. Ability to work on a team.
Regularly required to use hands to finger, handle or feel, reach with hands and arms and talk or hear. Regularly lift and/or move objects 10-50 lbs frequently; lift and/or move objects that weigh more than 100 lbs. with assistance or the use of a powered industrial truck.
