Location: Herndon, VA (Airbus Headquarters)

Pay: $64,000-$92,8000

The Facilities Contract Administrator will play a pivotal role in managing the vendor Database, contracts, KPIs and other vendor related documents. Act as liaison between internal business parties and external vendors and suppliers, making sure that conditions are correctly documented and compliant with company's policies, standards and procedures.

Primary Functions:

  • Maintain a comprehensive vendor database, including contract renewal dates, vendor COIs, SOWs and other associated documents on requestor system (Google)

  • Work with the procurement department and local Facilities Management and Real Estate (FMRE) POC to ensure vendors meet agreed-upon terms and conditions

  • Collaborate with procurement and Facilities Management and Real Estate (FMRE) POC to identify vendor needs and opportunities for cost savings

  • Prepare and present reports on contract status, vendor performance, and procurement activities

  • Ensure understanding of and adherence to contract requirements, business management requirements, and procurement requirements across the Workplace Organization.

  • Work with Sr. Airbus FM-Operations (client) to identify areas of improvement that could streamline vendor management and operational processes

  • Assist with the development, implementation, and administration of facilities KPIs

  • Oversight on providing a consistent consolidated reporting process.

  • Oversee the day to day facility responsibilities for the Atlanta Skywise office including subcontractor coordination, work order management, space management etc.

  • Implement and ensure all client health and safety policies and fire safety policies are being followed on site

  • Access to the broader JLL platform to deliver portfolio specific insights, best practices, and subject matter expertise.

  • Ability to create sophisticated monthly and quarterly business reviews across the portfolio

  • Maintain high customer satisfaction with services provided management coordination, work order management, space management etc.

Communication and Relationship Coordination:

  • Escalate potential risks throughout the organization appropriately.

  • Recommend and manage initiatives to increase and improve service delivery considering both cost and quality

Program Analysis & Development:

  • React to emergency situations during off-hours

  • Apply effective lesson learned approach

Education/training:

  • Associates degree in facilities management, building, business or other related field

  • Bachelor's degree preferred

Years of relevant experience:

  • MINIMUM REQUIRED - 2+ years of work experience in business analytics, corporate real estate operations or operations analytics
  • PREFERRED - 3+ years of industry experience either in the corporate environment, third party service provider or as a consultant

Abilities:

  • Must be proficient at Excel Spreadsheets and have capability of customizing administrative reports

  • Google Workplace (formerly G-Suite)

  • PREFERRED - Strong knowledge of Google Workspace

Physical work requirements and work conditions:

  • Vision: able to see and read computer screens and other electronic equipment with screens, able to read documents, reports and engineering drawings.

  • Hearing: able to participate in conversations in person and via teleconference or phone and to hear sounds on the production floor including safety warnings or alarms.

  • Speaking: able to speak in conversations and meetings, deliver information and participate in communications.

  • Equipment Operation (personal computer, telephone, copies, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools.

  • Carrying: able to carry documents, tools, drawings, electronic equipment up to

  • 30lbs/14kgs.

  • Lifting: able to lift documents, tools, drawings, electronic equipment up to 30lbs/14kgs

  • Pushing / Pulling: able to push and pull small office furniture and some equipment and tools.

  • Sitting: able to sit for long periods of time in meetings, working on the computer.

  • Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving.

  • Standing: able to stand for discussions in offices or on the production floor.

  • Travel: able to travel independently and at short notice.

Estimated total compensation ran for this position is:

64,000.00 - 92,800.00 USD per year

The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
