Oz Management is seeking an experienced Facilities Associate, preferably with prior work experience in the financial services industry, to join its NY Office. The candidate will work closely with the Facilities Manage and act in a supervisory role in the absence of the Facilities Manager Key Responsibilities
This Associate hire will assist with all facilities requirements for the offices, which also includes Vendor Management, Invoicing and Corporate/Special Events. Responsibilities include but are limited to the below:
Serve as point of contact for all day-to-day operations of the facility, including trouble shooting and facilitating maintenance calls.
This includes developing an understanding of all office equipment and maintenance.
Responding to inquiries and solving problems as they arise
Support in the management of all vendor use, including submitting work orders, requests for proposals, ensuring their access to the building, tracking and submitting all invoices, and working on ad-hoc projects
Vendor services include: gym supplies, gym equipment, laundry, electrician, cleaning, office furniture, exterminator, shipping services, postage system, messengers, printers, audio system consultant, fire system inspection, copiers, HVAC.
Assist with coordinating all new hire seating, visitors and internal office moves with managers and IT Department.
Assist with management of Aramark for onsite kitchen/catering service, Cambridge for mailroom/office services and reception/office support team; special projects/daily tasks, training, scheduling, etc.
Oversee security system, including liaising with building security, creating/terminating access cards for on/off boarding, reviewing security cameras when necessary and providing reports requested. Act as after-hours emergency contact for building for any security issues.
Track and manage invoicing in general: review invoices for accuracy, authorize payment, submit to NY Accounting department for processing.
Assist in budgeting and coordinating of Corporate and Special Events.
Assist manager with contract management, including annual review of vendors, and preparation of RFP's for new services.
Requires some after-hours scheduling for maintenance/repairs
3+ years of experience working in the financial services industry in a facilities capacity.
The individual will be a team player and a self-starter with a strong desire to succeed.
Strong organizational and project management skills.
Ability to communicate across various levels of an organization, including excellent written communication skills.
Ability to exude confidence and poise in a face-paced environment.
