Role Summary:

The Facilities & Security Coordinator is responsible for handling day-to-day operations by monitoring incoming work requests, performing administrative, routine manual and detailed clerical work involved with ordering, receiving, storing, stocking and inventory duties in a stockroom, as well as responsible for providing tactical guidance and operational support to Nela Park Security.

Essential Responsibilities:

In addition, as the Facilities & Security Coordinator, you will:

FACILITIES JOB DUTIES (70%):

  • Monitoring incoming work requests and dispatch to proper department (HVAC, Elec., Maint., Grounds, Sec.)

  • Provide feedback to employees on the status of their work requests

  • Order parts for inventory and projects through purchasing system or P-card

  • Write purchase orders for parts and services including yearly blanket purchase orders

  • Receives and unpacks incoming orders, checking against items listed on requisitions, invoices or other order forms and enters receipt into procurement system (SSP)

  • Inventories stock on hand and maintains adequate stock levels to support various projects

  • Confers with departments regarding specifications and other details of ordering

  • Obtain obsolete and hard to find parts or recommend substitute conferring with the trades

  • Troubleshoot invoice and purchase order discrepancies in SAP interacting with accounts payable

  • Reconcile Facilities P card transactions in a timely manner (Concur)

  • Monitor janitorial consumables (Grainger Keep Stock) and resolve any deficiencies

  • Travel to local supply houses to pick up parts in emergency situations

  • Responsible for the cleanliness and neatness of stockroom

  • Contact suppliers / vendors for quotations on parts or services

  • Coordinate Supplier visits to maintain GE and Supplier relationships

  • Communicate all third-party work requests such as pest control, janitorial, trash and recycle pick-ups

  • Maintain Facilities contacts database

  • Obtain check requests on government payments

  • Add new suppliers to SAP as appropriate

  • Maintain facilities vehicle registrations including emissions testing

  • Schedule elevator / boiler / inspections and re-inspections

  • Become extremely knowledgeable of the layout of Nela Park both externally and internally

  • Analyze department spend to identify potential areas for cost savings negotiations

  • Other duties as assigned

SECURITY JOB DUTIES (30%):

  • Develop and Maintain dept. standard operating procedures (SOP)

  • Schedule personnel; including time off requests according to guidelines

  • Administration of Gensuite compliance tasks

  • Verification and closure of all security inspections; including escalating deficiencies

  • Assist in 3rd party security vendor scheduling and coordination

  • DHS Security government program administration support

  • Potential GE site visits for vendor coordination and/or equipment delivery or retrieval

Qualifications/Requirements:

EDUCATION REQUIREMENTS:

Associates Degree from an accredited school (Or a High School Diploma / GED with a minimum of 5 years of experience in a Facilities, Security or a related field)

ELIGIBILITY REQUIREMENT(S):

TECHNICAL SKILLS:

Must be fork truck certified or willing to obtain certification

Minimum of 5 years of experience in procurement field managing inventory, dealing with supply houses and purchased service providers

Experience working with programs such as:

  • Gensuite

  • Perceptive

  • Specialized Access Control Platforms

  • CCTV software

  • Kronos or equivalent Payroll systems

Working knowledge of electrical and mechanical components such as:

  • pumps
  • motors
  • condensers
  • fasteners
  • fittings
  • piping, etc.

Ability to analyze purchasing and invoice data using Excel

Strong working knowledge of Excel, Word, Outlook

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job

  • Ability to sit and/or stand for long periods of time

  • Ability to move around the facility, climbing (stairs)/ bending (up and down)/ reaching (up and down)

  • Ability to articulate accurate information verbally and in writing to others

  • Ability to Frequently operate a computer and other standard office equipment

  • Ability to handle and lift objects weighing up to 25 lbs. daily (with the occasional package being heavier potentially requiring a two-person lift)

Desired Characteristics:

Bachelor's degree from an accredited university or college preferred

Maintenance background / experience a plus

SAP / ERP experience preferred

LEADERSHIP SKILLS:

Motivated, self-directed and able to work productively on multiple initiatives simultaneously

Well organized and high attention to detail

Ability to clearly and succinctly communicate amongst peers, park employees and suppliers

Must have sound judgement, excellent analytical and problem-solving thought processes

Excellent written and verbal communication skills

TECHNICAL SKILLS

Knowledge of security-based programs a plus

Possess exceptional organizational skills; both clerical and physical assets
