JOB SUMMARY: Leads, develops and manages the team that is responsible for all aspects of the work locations for Universal Creative. This includes but is not limited to construction and maintenance of these Facilities, lease negotiation and compliance, and the perpetuation of the accuracy of any system documentation as it relates to these Facilities and all leased items for Universal Creative.

MAJOR RESPONSIBILITIES:

  • Manages the maintenance for all Creative locations to ensure all spaces are safe for Team Members, function as intended and all lease provisions are satisfied. Also oversees the purchase and installation of any Furniture, Fixture and Equipment in Creative Facilities.

  • Oversees any redesign and construction that takes place in any Creative Location. This includes any conversations with the existing or new tenant of the space to ensure expectations are met and the space is used efficiently and is effective. It also includes the complete contractual process (contract initiation, vendor payment and contract closeout) as it relates to outside vendors if any are used.

  • Manages the collection and maintenance of any data related to the Creative work locations or leased items and oversees that where necessary corporate systems are updated with this information. Also ensures that any company requirements are met in relation to these facilities.

  • Develops and manages a site visitation schedule that monitors the pulse and well-being of each location used by Universal Creative and puts in place and action needed to rectify any issue collected with this process.

  • Works with Management to develop and manage a location matrix that matches the needs of the Universal Creative Team and the Long Range Plans of the group.

  • Laisse with other Parks Management to establish standards of Facility operation, maintenance and construction.

  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.

  • Performs other duties as assigned.

SCOPE: This individual will be responsible for the construction and maintenance of the Universal Creative work locations as well as any other Creative leased item. They will also be responsible for working with Leadership to ensure that adequate planning takes place to ensure that Creative has the necessary locations, furniture, fixtures and other equipment to perform their duties.

QUALIFICATIONS: This individual should have extensive knowledge of facility management, maintenance and construction and have experience reading, interpreting and complying with terms within a lease document.

They should have experience with commercial office furniture and be able to read and interpret floor plans and drawings. They should have experience with a computer automated design application and be able to create and manipulate floor plans and drawings.

EDUCATION: Bachelor's degree required (Business or Project Management strongly preferred)

EXPERIENCE: 7+ years of Facility Management job experience required; or equivalent combination of education and experience. 3-5 years' supervisory experience required

JOB SUMMARY: Performs supporting work for the global Records Information Compliance Program and Document Control processes for all of Universal Creative Project Portfolios. Responsible for the project document library, including file and document categorization, storage, retrieval and archiving, presentation materials, printing services and general copy that support the administration, design, development and documentation of theme parks, location-based entertainment venues, hotels and resorts, interactive, etc. MAJOR RESPONSIBILITIES: * Responsible for documents control, including document quality assurance & quality control (verifying compliance with Engineering and Architectural title blocks using Drawing details/templates, PDF, and 3D Models) storage, distribution and project close out. Archiving, retrieval and destruction of documentation for both hard copy and electronic documents and records as well as the transfer of physical files to digital using WalkMe software. Support design review sessions by initiation of design review, administration and close out. Use Nintex system software to create and maintain sites, subsites and deliverables libraries for project teams. Archival data review for content and migration to new records management systems. * Support end user training on RICP compliance standard operating procedures as well as continual training to user groups on RICP systems and tools. Conduct compliance checks on documents in accordance with legal and regulatory standards. Escalation of non-compliance issues on policies and procedures to management. * New vendor File Transfer Protocol folders and user accounts setup. Creation, protection and tracking of document passwords for IP sensitive documentation supplied to third party workers. Utilize Prolog and PMWeb to create individual records (Requests for Information, Submittal Sites and Transmittals) and compile the information in schematic/schedule libraries. * Support and/or Maintain SharePoint Content frontend and backend configuration and management of SharePoint through creation of lists, management of metadata in systems, creating forms, supporting workflows, request collaboration sites and adding layers to existing pages. * Departmental document distribution, issuance and modification lifecycle information collected and metrics reported to management. SCOPE: Moderately routine; general policies applied. Some decision-making. Will maintain some relationships outside of work unit including exchanging of information, which occasionally requires tact and/or diplomacy. QUALIFICATIONS: * General knowledge of archiving, data entry and migration, document organization and cataloging, electronic systems and versioning required. * Document security, search and removal, offsite storage, process automation and requirements gathering preferred EDUCATION: High school degree or GED: Required. Associates in Business Administration, Management or similar field preferred EXPERIENCE: 2-3 years of relevant experience in a records management, document control or equivalent position required. 1-2 years of experience using SharePoint or other Records and Information Management Platform required. 1-2 years of experience with architectural, construction, civil engineering or project management functional teams supporting document control and or records management preferred. 1-2 years of data migration, file structure maintenance and metadata experience preferred.
