Position Summary
The Extra Help Medical Office Assistant supports the clinical research operations of the CCTS Clinical Research Center. The position is responsible for ensuring a safe and welcoming reception for participants engaging in clinical research supported by the Clinical Research Center. This includes overseeing all reception area activities, responding to participant inquires, completing participant check-in and registration processes, as well as the participant check-out process.
Duties & Responsibilities
Oversees all aspects the Clinical Research Center reception area to ensure smooth clinical activity flow; evaluates clerical procedures in the patient unit to identify the need for rescheduling routine activities to prevent peak workload periods. Registers and enters research participant registration into the computerized participant care system by established policies and procedures. Coordinates patients' appointment schedules (e.g., contacts patients to confirm appointments, set up return appointments). Initiates, retrieves and reviews participant research records (consent forms, previous appointment summaries) and other source documents within CCTS participant record system. Establishes and maintains effective procedures for obtaining and maintaining unit supplies and equipment; maintains an inventory of equipment and/or supplies; prepares reports as requested by superiors. Serves as a liaison between reception and other units (Integrative Physiology Lab, Investigational Drugs Service, Campus and Hospital Facilities Services, etc.). Under the guidance of Clinical Research Center Staff and Study PI, may provide participants with follow-up visit information including copies of informed consent documents, study materials and post-visit instructions. Perform other related duties and participate in special projects as assigned.
