Job Description:

The External Events Manager works directly with FIT's external clients and partners to reserve appropriate event space and manage the creation and execution of events. These include small meetings to large conference with both simple and complex needs. The External Events Manager reports to the Director of the Facilities Rental and Special Events Office and is responsible for effectively managing relationships with external FIT clients.

The External Events Manager provides training, instructs, and guides the space requestor through the college's reservation system. Event guidance includes determining appropriate support from such departments as Buildings and Grounds, IT/AV Media Services, Lighting, Public Safety, and Catering.

Responsibilities:

  • Provide exemplary service: meet with clients to tour facilities; understand the purpose of the event and client expectations; plan the scope of the event; develop timeline and budget; solicit bids from vendors and service providers; develop contracts and other necessary documents.

  • Manage event-planning and on-site details for events: room set-up, audio/visual, lighting, security, and catering;

  • Maintain accurate event records, customer satisfaction, and other metrics; improving existing or developing new methods for tracking, analyzing, and reporting additional data.

  • Collaborate and develop relationships with colleagues across the college, in particular with internal support departments (AV, Lighting, Buildings and Grounds, Catering, and Public Safety).

  • Knowledge of college policies, procedures, and best practices for event planning and acting as a resource for the college on these practices.

  • Schedule external events in the Special Events Reservation System and update as needed.

  • Assist with planning special projects; serve as on-site supervisor and help facilitate logistics for various events throughout the year.

  • Serve as back-up to oce staff with event preparation support, as needed.

  • Some weekend and evening hours required.

Requirements:

Minimum Qualifications:

  • Bachelor's degree required.

  • Five (5) years of related special events and/or public relations experience.

Knowledge, Skills, & Abilities:

  • Experience in special events in an academic environment.

  • Exemplary customer service and communication skills, with ability to effectively communicate information/ideas in written and verbal format.

  • Excellent organizational and problem-solving skills and attention to detail, policies and deadlines.

  • Experience dealing with a variety of constituents in a professional manner.

  • Ability to adapt quickly in an extremely busy, dynamic, and demanding office.

  • Ability to build and maintain strong positive relationships and work with a diverse constituency in a professional manner.

  • Self-starter, with ability to work both independently and as part of a multi-functional collaborative team.

  • Proficient knowledge in of MS Office suite, particularly Word and Excel, Google applications, and electronic reservation system preferred.

  • Ability to constantly sit and stand, occasionally bend, frequently walk and occasionally lift 20 lbs or less.

Additional Information:

Please note all offers of employment are contingent upon successful completion of the background check process.

Salary

Salary: $78,875.63 per year

The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $78,875.63 per year with step increments per Salary Schedule 94, after one year of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 9am-5pm, in person with some weekend and evening hours required; work schedule subject to change based on needs of the department.
