Under the direction of the Operations Director/Community School Director, the Senior Program Director, Expanded Learning (SPD) will provide direct leadership and oversight to Y-programs including afterschool and camp, Community School partner programs, and other general Y programs within the YMCA/Community School while consistently anticipating and exceeding expectations. The SPD will be responsible for delivering youth development services as outlined by the Community School Director to include organization-wide standards and consistencies throughout all programs. The SPD will provide Cause-Driven management, direction and supervision to multiple department staff teams, driving superior program quality, meeting program enrollments, and enhancing participant experience. This position ensures that their team(s) operate efficiently and employs a continuous improvement model to meet and/or exceed goals for participant satisfaction, grant and financial management, and overall growth.

This position is a senior member of the Sulphur Springs YMCA leadership team. The SPD requires strong skills in hiring, staffing, scheduling, quality execution, budget management, relationship management and programming. Day to day operations include relationship management with school staff and community partners, coaching associates toward successful programming and collaborating on decisions for new program development. The SPD is responsible updating budget, documenting and forecasting whenever required and occasional invoicing and partnering with external vendors as needed. Direct reports will include YMCA Program Director and YMCA Associate Program Director.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Program Quality and Growth

  • Coordinate the development and implementation of the Y-After School, Camp and Partner programs.

  • Coordinate and manage Sulphur Springs Community Partnership School (non-YMCA) Expanded Learning programs including, but not limited to, all non-traditional classroom activities/program.

  • Directs and corrects execution of consistent program processes, training and quality control measures to ensure all associates are operating with high level of service to all standards required; assesses team on a regular basis, communicating any training needs to the Operations Director and pertinent departmental leaders.

  • Maintains professional relationships with school staff, administration and Y Center & Association associates.

  • Accountable for ensuring audit compliance and high level of quality programming for SS BASE and Camp programs.

  • Maintain Expanded Learning sign-in logs and participant files with all required paperwork.

  • Oversee facility management including custodial, safety, classroom, security and transportation.

  • Submit all required documents on a timely basis including attendance, grant metrics, snack counts, etc.

  • Establish and maintain partnership/communication with community based organizations, school staff and other collaborators.

  • Facilitate regular after school meetings and professional development (in coordination with the YMCA Program Directors).

  • Maintain files and records as required; maintain program statistics and prepare reports.

  • Recruit and coordinate volunteers to assist in out of school time programming.

  • Coordinate evaluation process, including surveys of students, parents and staff. Participate in program assessment and quality improvement process.

Operations/Team Leadership

  • Strategic Planning > Assist Community School Director in the development of and strategy for short- and long-term needs of the department and effectively leads and manages a stable team toward established goals and objectives.

  • Attends best practice sharing meetings with other Before and After School leaders across the Y as needed and throughout the industry

  • Joins any required or encouraged professional groups to bring a strong reputation and knowledge base, representing our team as needed in national conferences, training and development opportunities.

  • Administrative > Manages daily business and administrative functions as it pertains to the Afterschool, Camp and CPS Expanded Learning Programs

  • Work with grants team to submit all required grant data in a timely manner and attend meetings with funders as requested by the Community School Director.

  • Fiscal Management > Conduct or coordinate audits of program accounts and financial transactions to ensure compliance with state and federal requirements and statutes.

  • Analyze program operations, trends, costs, revenues, financial commitments, and obligations to project future revenues and expenses or to provide advice.

  • Prepares and manages the program budget to/within revenue, expense targets, and expense forecasts to budget as needed.

  • Manage and approval department payroll

  • Supervisory > Facility walk-throughs, facility audits, engaging with members, assist programs, safety or leadership representative.

  • Directs and supervises Program Directors and Site Supervisors ensuring excellence in execution of program quality.

  • Observes coaching sessions and develops plans for improvement as needed.

  • Must possess and utilize excellent organizational skills, with the ability to empower staff members.

  • Partners with Human Resources regarding performance management and by effectively communicating interdepartmental changes, training requirements and ensuring adherence to Y program best practices

  • Training staff > Assist Operations Director to help plan, direct, and coordinate the training and development activities for all associates of SS.

  • Assists in the onboarding of all new Program Directors, Site Supervisor, and program associates as needed.

  • Conducts regular meetings with each Program Director; documents agenda and feedback, coaching, and site improvement plans.

  • Promotes and adheres to all Tampa Y safety protocols and best practices.

  • Completes all job related, supervisory and other trainings as required.

Safety and Risk Management

  • Ensures program standards and best practices are implemented and followed. Applies YMCA policies and procedures, including those related to best practices, emergency procedures, medical and disciplinary situations and child abuse prevention.

  • Ensures program staff are properly trained and prepared for emergency situations. This includes implementing and following training requirements in addition to ensuring proper reporting of all incidents/accidents according to risk management procedures.

  • Ensures adherence to all YMCA policies and procedures regarding the safety, health and welfare of members, program participants, guests and staff.

  • Maintain proper records, including staff member certifications, staff member meetings, trainings and daily logs used for policy and procedure review so that information can be reviewed at any time.

  • Schedules staff in accordance to program needs and ensures all safety and program ratios are followed.

  • Performs all other duties as assigned.

Other Youth Development Support

  • May be required to serve as "leader on duty" on nights and weekends to support BASE and family center programs.

Education/ Experience Required:

  • BA/BS in youth related field (Early Childhood Education, Elementary Education), business/operational management or related field or equivalent experience preferred.

  • Minimum of (5) five years of experience in camp, afterschool, or similar youth related programs with at least two years of supervisory and payroll management experience required.

  • Bilingual in English/Spanish preferred.

  • Prior grants management experience required.

  • Proven results in increasing program quality and growth.

  • Highly motivated with the consistent ability to meet or exceed goals, cultivate and retain program participants.

  • Exceptional relationship management experience and capacity to develop effective working relationships with people from a variety of different ethnic, socioeconomic, educational, religious, sexual and generational backgrounds.

  • Consistently self-driven and goal-oriented with the ability to set effective team and individual goals and take ownership for results.

  • Demonstrated ability to multi-task and adapt to changing contexts and priorities.

  • Strong analytical and critical-thinking skills with the ability to identify and leverage relevant data to use in planning and decision-making.

  • Ability to understand, adapt to and interact with diverse people, teams, perspectives and cultures.

  • Proficient in using email, Internet, and other PC-based applications with the ability to learn and adapt to new technology.

  • Must be able to work flexible hours including evenings, weekends, and holidays as needed.

Certifications/Trainings Required:

  • Must obtain within 30 days of employment and then maintain current certifications in CPR, First Aid, AED and Oxygen Administration.

  • Maintain other required certifications as stated in the training matrix.
