The men and women of Electric Operations ensure the delivery of safe and reliable electric service to our customers. Electric Operations is responsible for every aspect of PG&E's electric distribution and transmission operations, including planning, engineering, maintenance and construction, asset management, business planning, restoration and emergency response.
The Technical Document Management Analyst maintains large technical documents such as manuals, standards, procedures, and bulletins in the company's document management system. Analyst must ensure documents are managed properly in the Company document management system. This includes assigning attributes, updating content, creating and maintaining virtual documents, and all other tasks necessary to ensure easy and complete access to Company documents. The documents are the foundation for employee training, support and guide work practices on a daily basis. Incumbents adhere to all company and regulatory safety requirements and practices, incorporating them into the work product and daily activities. Analyst also works closely with finance and IT to secure funding and manage IT projects.
Works on complex assignments and projects. Works independently under generally defined project objectives.
Manages large scale department projects regarding document management technology changes, new systems, implementations, conversions and/or trainings.
Manages and tracks deliverables, schedules, and resource requirements in project plans.
Independently analyzes business processes and provides recommendations for improvement.
Identifies client's documentation/business needs, scope, audience, deadlines and key stakeholders for internal, external, special projects and initiatives. Spearheads solutions and obtains client/stakeholder feedback.
Acts as the subject matter expert for the document management system, performing user system administration, maintenance and some troubleshooting. Performs configuration changes based on user needs.
Designs document management structures; develops metadata tagging, custom lists, taxonomies, and retention processes; and maintains the Technical Information Library (TIL) Company-wide document system.
Design User Acceptance Test (UAT) plan, write test scripts, execute UAT, and evaluate test results. Work close with IT to prioritize and fix any defects found through the UAT.
Maintains documents in content repositories. Designs and maintains major additions and/or updates to the TIL. Uses the document management system to store, maintain version control and availability of technical documents. Proactively analyzes, improves, and provides correct indexing, and searchability of all documents.
Prepares, manages files for publication, including maintaining PDF properties and creating comprehensive searches. Ensures all cross references, document dependencies, links, and all other details associated with new, updated, and canceled documents are complete and accurate.
Provides research and support for historical documents as requested by Legal and Regulatory Affairs for use in proceedings.
Supports maintenance of documents in the Technical Information Library (TIL). Ensures documents are posted, updated, and canceled as appropriate. Maintains TIL satellite databases and systems, such as Document Comment and Tracking Resolution database (DocTR) and Subscription Lists.
May provide web content for the Technical Information Library (TIL) and document management system. Ensures quality and consistency. Communicates updates to internal clients.
May provide work direction to lower level peers and act as backup supervisor or team lead.
Bachelor's degree in English, Business, Computer Science, related field or equivalent experience.
8 years of related work experience is required.
Experience in Document Management. Advanced knowledge of document management concepts, methods, practices and techniques such as document indexing, cross-referencing, and management of documents for easy web access. A minimum of 3 years of Documentum publishing, taxonomy, metadata tagging, and GUI design experience.
A minimum of 3 years of training development and delivery experience.
Budget management experience
Software development lifecycle (SDLC) management experience.
Experience with Web publishing.
Experience working with cross-functional teams.
Effective written and verbal communication skills to lead teams and present project status to management.
Change management impact and communication experience.
Fully competent with Microsoft Office applications.
