Department Overview

The mission of Information & Records Governance (formerly Enterprise Records and Information Management) is to drive the reliability, availability, and compliance of PG&E's information and records assets by providing transparent governance, consultation, and practical tools.

Position Summary

The Expert Records Analyst provides support to PG&E coworkers on information and records guidance and best practices as well as support efforts to reduce records risks via mitigations and controls. The position will support ongoing workstreams, including records inventory, site monitoring, decommissioning and reconfigurations of PG&E sites, targeted training, and various other projects and initiatives to manage active and inactive physical and electronic records across the enterprise. The successful candidate must be an advocate for safety and will help PG&E mitigate risk by leveraging the skills and experience of a diverse team to focus on the successful delivery and maintenance of the Information & Records Governance program.

This position is hybrid, working from your remote office and your assigned work location based on business needs.

PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job. The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity.

A reasonable salary range is:

Bay Area Minimum: $114,000

Bay Area Maximum: $182,000

&/OR

California Minimum: $108,000

California Maximum: $173,000

Job Responsibilities

  • Provide Functional Area (FA) support on information and records guidance and best practices; includes support of risk mitigations and records-related projects and initiatives

  • Perform SharePoint site management including updates to pages and content

  • Develop and manage reporting dashboards (PowerBI)

  • Perform analysis of data and/or processes in support of various workstreams; includes metrics gathering and reporting

  • Provide customer support within assigned Territory (Kern or Humboldt Divisions)

  • Develop and implement project planning, status reporting, and scheduling for small to large projects

  • Support records compliance activities (e.g. requirements gathering, solution development/ implementation, annual records disposition reporting, destruction and certification of destruction process)

  • Participate in the development and ongoing maintenance of the Information & Records Governance Framework, including Records Inventory, retention schedule, and preservation or destruction of records

  • Establish and maintain cross-functional working relationships within the IRG organization, the functional area and with key business and with key business partners throughout PG&E to provide guidance in researching and resolving records issues

  • Develop and deliver presentations, training and other educational materials using various communication methods (in-person, e-mail, phone, collaborative sites, presentations, etc.)

  • Travel within PG&E service territory (as needed)

The ideal candidate has:

  • Ability to map business processes and develop and implement process improvements for improved records compliance

  • Ability to manage and drive multiple projects, track timelines, stakeholders and deliverables and report on status

  • Knowledge and experience in systems and tools for paper and electronic records, such as Documentum, SharePoint, etc.

  • Knowledge and experience with PowerBI or other analytics and dashboard tools

  • Ability to rapidly gain/build trust and confidence of internal and external stakeholders

  • Excellent writing and interpersonal skills

Qualifications

Minimum:

  • Bachelor's degree in Business, Finance, Economics, Accounting, Public Policy, Library and Information Systems, Information Technology, Legal Studies, or related discipline; or equivalent experience

  • 6 years related experience in records management or applicable experience

  • CA Class C License, or equivalent

  • Ability to travel up to 20 percent of working time

Desired:

  • Master's degree in Business, Finance, Economics, Accounting, Public Policy, Library and Information Systems, Information Technology, Legal Studies, or related discipline; or equivalent experience

  • CRM, IGP, or related information governance certification

  • Knowledge of relevant information and records governance industry guidelines (ARMA, AIIM, IAPP, etc.)

  • Experience working in the utility industry

  • Project management and/or process management experience

  • Ability to successfully manage projects of some complexity with minimal supervision

  • Experience with large scale design, development and implementation of governance structures

  • Ability to effectively interact with all levels of management, employees and customers/vendors of diverse populations

  • Experience with systems and tools for physical and electronic records, such as Documentum, SharePoint, etc.

  • Experience with Power Apps and Power Automate

  • Excellent analytical skills, problem-solving skills

  • Excellent verbal and written communication, interpersonal and influence skills

  • Presentation skills; ability to deliver technical training
