Role:Expeditor

Are you looking for a crucial role in a world class interior design studio in San Francisco?

We are a dynamic team of interior designers, focused on ultra-high-end residential work. We currently seek an expeditor to join us to implement the final stages of our designs, working on order placement, tracking, shipping and installation, all to the most demanding standards execution and of client service.

Responsibilities:

work closely with designers and project managers as projects enter the phase of ordering furnishings and materials

work with designers, project managers and accounting team to process purchase orders with vendors, and invoices to clients

track all orders and their component parts from placing of order through final installation

Correspond with design team regarding outstanding, design decisions, and status of orders

Schedule inspections and follow up with vendors on product issues

Coordinate installations with team and vendors

Arrange and manage complex shipping and freight, including from overseas and navigating international customs issues

Maintain and apply office standards with assistance from Project Managers

Requirements

Qualifications and skills:

At least 3 years of experience as a project manager / expeditor in luxury residential interior design, ideally in the San Francisco Bay Area, having familiarity with key local showrooms and vendors, as well as national, and in international branded suppliers

Experienced in using Studio Webware 2.0 to manage furnishing orders and budgets

Excellent verbal and written communication skills

Highly numerate

Skilled use of MS Office software suite including Word, Excel and Outlook

Superb organizational skills

Obsessed with being on time

Able to understand and help manage to budgets

Highly collaborative and utterly dependable

Client facing experience

Goal oriented, team player

Thoughtful, careful worker, not prone to making errors.

This person will coordinate with Design Principal and Design Team to execute all design decisions, helps finalize design from design development phase through installation phase.</p><p><strong>ESSENTIAL DUTIES &amp; RESPONSIBILITIES</strong></p><ul> <li>Attend weekly Design Team meetings. </li> <li>General research and shopping for projects as directed by Design Principal and<em>/</em>or Designer.</li> </ul><ul><li>Assist Design Principal and/or Designer on preparing for all meetings, set up of drawings and all necessary materials.</li></ul><ul> <li>Assist with follow-up meeting procedures: generate and distributing meeting notes, identifying action items.</li> <li>Assist with preparation of color and material boards as needed for presentations; liaison with Librarian in ordering materials for boards. Preparation for client presentations as otherwise required.</li> <li>Distribution of all relevant correspondence emanating from project(s); preparation of written construction schedules, specifications and material reference books; daily filing of all materials. </li> <li>Obtain quotes for standard orders; review for proper lead time, pricing delivery and freight costs; follow-up on information pertinent to specifications and orders.</li> <li>Prepares all proposal packages. </li> <li>Preparation of all job sheets and proposals including written descriptions of item, verify job sheet information and accuracy, obtains approval from Design Principal.
