The Fralin Museum of Art at the University of Virginia seeks candidates for an Exhibition Project Manager. The Fralin is UVA's world-class, encyclopedic art museum that serves the UVA and central Virginia communities with powerful exhibitions and dynamic programs. Reporting to the Director, and working in collaboration with Curatorial and Collections staff, the Exhibitions Project Manager is responsible for maintaining the museum's overall exhibition schedule, developing working schedules for the development and implementation of individual exhibitions, preparing schedules of deliverables for exhibition grant funding, serving as the Museum's liaison for guest curators and artists, assisting with the preparation of artist, guest curator, and traveling exhibition venue agreements, as well as coordinating aspects of exhibitions traveling to other venues. The Exhibitions Project Manager is responsible for tracking the status of work completed by other key staff members and may mediate some in-house scheduling conflicts. The Exhibitions Project Manager will work closely with the Chief Operating Officer on the preparation and monitoring of complex, multi-year, exhibition budgets.

General Exhibition Management

  • Participate actively and authentically in museum's DEAI learning group, and at times serving on the working group, to insure that all projects are developed with considerations of diversity, equity, accessibility and inclusion in their design and thus will ultimately reflect the museum's values in completion.

  • Produce and maintain master exhibition and tour calendars for Museum.

  • In collaboration with Museum staff and guest curators, develop and maintain detailed exhibition schedules for each exhibition ensuring that projects are proceeding according to established timelines, schedules, and budgets.

  • Ensure that exhibition checklists contain accurate and sufficient information.

  • Prepare schedules of deliverables for exhibition grants and ensure deadlines are met.

  • Schedule and coordinate agenda for exhibition project team meetings.

  • Working with COO, Curatorial, Collections, and other departments to develop and maintain budget forecasts for future exhibitions.

  • Liaise with external partners for traveling exhibitions.

  • Assist fundraising efforts by assembling checklists, budgets, and other deliverables required for grants and funding applications.

  • Secure and track image permissions for didactics and publications.

  • In collaboration with Marketing and Curatorial staff, develop marketing and web collateral.

Guest Curators and Visiting Artists

  • With support from the director or curators, ensure that schedules are met by guest curators and that their needs are met by in-house staff.

  • In consultation with the director or curators, serve as the logistical liaison for artists engaged to create new works or installations.

  • Schedule and arrange all travel for guest curators and artists including making travel reservations and processing expense reimbursements.

  • Draft guest curator and artist agreements.

Qualified candidates must have a bachelor's degree with at least four years of experience. Relevant experience may be considered in lieu of a degree. Project management Institute (PMI) certification is preferred.

Knowledge, Skills and Abilities

  • Knowledge of museum practices and procedures.

  • Knowledge of exhibition development and organization.

  • Knowledge of diversity, equity, access, and inclusion (DEAI) promotion.

  • Skills in communication, organization, and project management.

  • Ability to balance multiple projects and meet deadlines.

  • Ability to work with standard computer software systems (Microsoft Office Suite, Outlook, Teams, etc.) and to learn museum-specific collection database.

  • Demonstrated ability to establish and articulate goals, strategies and direction and deliver on them.

  • Experience working with artists and/or maker communities on museum installation projects.

  • Excellent project management skills, including the ability to set project objectives, determine and address potential barriers; identify required resources, identify process steps and milestones; and adjust action plans to achieve desired outcomes.

  • Skill in negotiating and exchanging ideas, information, and opinions to formulate policies and procedures and/or arrive jointly at decisions, conclusions, or solutions with individuals and groups at various organizational levels.

  • Skill in taking initiative and working both independently and as an effective member of a team.

  • Skill in setting priorities that reflect varying levels of importance of multiple work assignments and the ability to handle competing deadlines.

  • Skill in budget preparation, analyzing financial data, preparing financial reports and projections, and making financial recommendations for budget planning, financial and decision making.

  • Proficiency with museum database systems (EmbARK, TMS, etc.), accounting procedures, and Workday systems.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

This position is in Charlottesville, VA.
