Job Description and Duties
Per CCR 249.3, this job control may be used to fill subsequent vacancies.
Under the direction of the Deputy Manager I, the incumbent plans, organizes, directs exhibit programs and guides the overall operation of the exhibits departments. The incumbent is responsible for maintaining a high degree of integrity while overseeing the entire Exhibit Department for the annual Ventura County Fair.
Prepare annual exhibit department budget; maintain exhibit budget control information.
Prepare exhibit department payroll timecards for accounting.
Organize competitive exhibits; hire exhibit department superintendents, staff and volunteers.
Prepare judging agreements.
Prepare premium book including the gathering of all data, preparing for printing, issuing and awarding of printing bid, labeling, mailing and distribution of premium book to exhibitors and community businesses.
Plan and coordinate volunteer recognition events.
Direct the premium office including the hiring of temporary staff, overseeing data entry.
Print premium checks.
Responsible for printing reports and preparing the final premium report for Fairs & Expositions.
Direct the Auction Office for the Junior Livestock Auction: including printing of weight certificates, pre-sale invoices, sale invoices and billing.
Responsible for data entry during auction, the collection of money from buyers and preparing monies for bank deposit.
Answer incoming telephone calls and assist with counter requests in the Administrative Office. This also includes telephone requests for all other inquiries and directs calls to the proper departments.
Assist with intake with specialty contests leading up to Fair.
Disperse and file posting reports.
Verify weekly cash deposits.
Manage large scale event camping reservations.
Assist in distributing information to potential rental clients.

Working Conditions
The environment of the fairgrounds is a campus of well-maintained buildings where each department is made up of several offices within its own building. Work is primarily performed both inside and outside of buildings all throughout the fairgrounds depending on what exhibit department work is being conducted in. The outdoor work environment will be subject to heat, fog, wind and other weather conditions. Work is primarily performed in a well-lit enclosed office setting at a personal desk with standard office equipment. Employee is subject to long periods of sitting, computer keyboard use, computer monitor exposure and direct interaction with the public.
Incumbent must be able to establish and maintain effective working relationships with associates, make appropriate decisions, work well under pressure and meet required deadlines.
Regular or recurring telework may occur as part of the incumbent's ongoing regular schedule in accordance with CDFA's Telework Policy.

Department Information
The 31st District Agricultural Association (DAA), Ventura County Fairgrounds is owned by the State of California and is administered by the 31st District Agricultural Association under the direction of the Division of Fairs and Expositions, Department of Food and Agriculture. The Fairgrounds strives to maintain and promote its facilities in a manner that encourages year-round use and to annually produce a fair that showcases the area's agriculture and other talents of its culturally diverse communities.
