General Description of Work

Whatcom Community College invites applications for a Health Projects Coordinator. The Health Projects Coordinator supports the Whatcom Community College Area Health Education Center leadership staff in implementing the center's goals, objectives and activities in providing educational services and programs to rural and urban medically underserved populations in Western Washington. Reporting directly to the AHECWW Director, the Health Projects Coordinator will fulfill functions, components and processes related to AHEC's mission as well as in support of other health grants projects. The Coordinator works with AHEC staff in supporting and fulfilling assignments as described below.

Responsibilities

Include but are not limited to:

  • Works with UW Office of Rural Programs and WA AHEC Program to coordinate logistics and student supports for experiential learning higher education programs, such as immersion and didactic seminars.

  • Develops and manages outreach, data collection, and record-keeping systems to track program processes and costs for assigned projects.

  • Assists with monitoring healthcare students and clinic staff with required experiential learning tasks and timelines.

  • Supports collaborative partnership-building activities as a part of AHECWW project development and grants.

  • Assists with coordination of contracts with partner agencies, individuals, and organizations.

  • Assists in maintaining and updating the AHECWW website content.

  • Collaborates with regional organizations to plan, promote, to provide community and professional development classes; manages registration, purchasing, contracts, and documentation of certified class participants.

  • Supports AHEC/other health grants staff in composing and editing grant reports and surveys and applying for ongoing funding.

  • Provides general program support including with budget maintenance, facilitating purchasing and expenditures, supporting travel arrangements, helping with program logistics.

  • Supports the development of marketing materials, web copy and presence, social media and other collateral materials for consistent branding and communications (email announcements, web updates, brochures, postcards, exhibit materials).

  • Contributes to development and maintenance of AHEC web site content for accuracy and cohesive identity, including updating the calendar, links, and project information.

  • Supports communications to the WA AHEC Program Office, such as event dates and project updates, data and information inquires.

  • Maintains media, photo and video files for archiving.

  • Works with AHECWW leadership to implement office procedures, reporting, and managing data.

  • Provides project status reports for grant deliverables for Advisory Board meetings and grant reports.

  • Assists in the development and implementation of surveys for data collection.

  • Supports and responds to AHEC inquiries.

  • Additional duties as assigned.

Qualifications

Minimum Qualification:

  • Associates degree from an accredited institution or equivalent work experience.

  • Two years experience in an office setting.

  • Proficiency with Microsoft Office Suite.

Preferred Qualifications:

  • Teaching and/or classroom experience working with high school students.

  • Experience managing a self-directed program or project.

  • Comfort and proficiency in public speaking.

  • Experience using Excel program to manage budgets.

  • Experience supporting state or federal grant projects, grant budgets and/or grant data tracking and reporting.

  • Ability to track expenditures and support budgets using Excel.

  • Experience working in health professions.

  • Experience in higher education environment.

  • Strong ability to communicate effectively both orally and in writing.

  • Willingness to learn new programs or tasks pertaining to job duties and requirements.

  • Valid driver's license and reliable vehicle for reimbursable travel.

  • Ability to work under aggressive deadlines and to self-direct and manage multiple event timelines and related tasks on different timelines.

Salary

Salary and Appointment:

  • This is a full-time, temporary, grant funded Administrative/Exempt position. Funded through June 30, 2025 with possible extension contingent on renewal of grant funding. Exempt from Washington State civil service law with an annual salary based on a range of $67,000.00-$67,000.00.

Benefit Package:

  • The position comes with a full benefit package, including health, dental, life, long-term disability insurance and a retirement plan.

  • Accrues 8 hours per month of sick leave and 14.67 hours per month vacation leave.
