Job Summary:

As Executive Support Administrator, you'll provide extremely high-level, functionally specialized administrative support to Vice Chair executives of the EY (Americas or Global Vice Chair level or above). In a highly visible role, you'll closely align your work with the specialized needs, operations, strategies and business objectives of these top executives. You'll manage confidential projects, perform various administrative activities, and have frequent interaction with internal and external clients. You'll also be expected to act as an ambassador for EY's leaders.

You'll work independently, and will not directly supervise staff.

Key Responsibilities:

  • Support high-level senior executives, and act as a trusted advisor

  • Utilize your extensive knowledge of service line and operational role of executive to make sound decisions

  • Cultivate and nurture relationships with internal, global business, and government leaders and their administrative staff

  • Manage multiple priorities considering risk, importance, urgency, political impact

  • Understand the key drivers affecting EY and our clients, and apply that knowledge to complete projects

  • Protect confidential and proprietary information

  • Demonstrate high-level knowledge of the quality & risk management policies related to specific service lines and the firm

  • Manage complex calendars, domestic and international travel, events, meetings and conferences

  • Independently compose, format and edit non-technical business documents

To qualify, candidates must have:

  • Knowledge-sharing and collaboration skills

  • Strong leadership skills

  • Strong customer service focus skills

  • Strong analytical, organizational and research skills

  • Exceptional interpersonal, communication, negotiation and presentation skills

  • Ability to diplomatically interface with senior leaders

  • Adept at navigating organizational structures, changing environments, and sensitive relationships

  • Competent in managing a number of projects concurrently

  • Advanced skills in Microsoft Word, Excel, Power Point and MS Outlook

  • A minimum of 8 years' experience supporting senior executives in large organizations

  • Bachelor's degree preferred

Department supported has approximately 150 employees located in the Houston Corporate headquarters and in the 3 refinery locations. Performs both routine and specific duties independently and according to established policies and procedures and practices. Manage administrative tasks associated with external auditor, assist in requisition requests, processing service receipts, processing of invoices for payment, maintaining attendance and vacation records, arranging meetings, coordinate travel plans and submit expense reporting, coordinating certain departmental functions, answering and responding to phone calls and inquiries, distributing departmental mail, reports, faxes, and other materials, manage departmental office supply requirements and stock levels, manage administrative functions for departmental procurement card and documentation requirements for purchases on the card and perform department Records Management Coordinator functions. Performs more complex assignments with limited supervision. Accumulate annual department budgets to assist in developing the annual budget and budget presentation. Perform monthly actual to budget expense analysis for review by Controller. Assist with electronic documents management and retention strategy.
