The Veterans Canteen Service (VCS) at the Jefferson Barracks VA Medical Center in St. Louis, MO is seeking an Executive Secretary.
The Executive Secretary performs administrative duties in the Office of the Director, Veterans Canteen Service (VCS). The Executive Secretary will provide direct administrative support to the Director, VCS and the Chief Operating Officer (COO).
Duties include, but may not be limited to the following:
Receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the public;
Screens calls or inquiries and refers them to the appropriate official;
Acts as a liaison to other VCS managers and staff within the organization and provides advice on procedures, reports, and requirements;
Processes incoming and outgoing materials such as correspondence, reports, memoranda and other written forms of communication;
Edits letters, composes letters and reports, reviews correspondence for accuracy, prepares public presentation outlines, and develops standard or form letters;
Serves as the timekeeper for the VCS Central Office and advises other divisions on timekeeping issues;
Schedules appointments, coordinates meetings, maintains calendars, and coordinates travel arrangements;
Attends meetings, notes commitments made, informs staff of commitments, and arranges for staff to implement commitments during meetings;
Arranges for meeting space, speaker, and support arrangements for large conferences;
Provides office supply and equipment support services;
Administers the office filing system and provides uniformity of filing and efficient retrieval of information

2 years secretarial experience in C-Suite to include scheduling appointments and coordinating meetings, maintaining calendars, and processing incoming and outgoing materials such as correspondence, reports, memoranda and other form of written communication.
Possesses effective communication skills
Experienced in operating computer systems such as Microsoft Excel, PowerPoint and Word
Must be able to multi-task and work effectively to meet deadlines
Periodic Travel is Required
