Provides secretarial and administrative support for the director and professional budget staff of the Health and Human Services Divisions of the Bureau of Budget. Provides technical assistance in the preparation of budget documents, spreadsheets, materials for legislative hearings, and prepares data displays (graphics, tables and charts) that illustrate the Department's clients and programs.

Assists in preparing financial data for entry into SIGMA. Accesses and runs SIGMA reports. Serves as back-up for the Bureau Director's Senior Executive Management Assistant.

Education

Educational level typically acquired through completion of high school.

Experience

Five years of office experience involving administrative support practices, including two years equivalent to advanced (8) level administrative support work, Secretary E8, or Legal Secretary E8; or, one year equivalent to a Secretary 9, Legal Secretary 9, or Senior Executive Management Assistant 9.

This position is located at 235 S. Grand Ave., Lansing, MI, but may be assigned to work from home for a period of time, until further notice.

Employees will be provided computers to perform state work. Phones may also be provided for necessary communications. If working remotely, employees will be responsible for providing other components of a remote office at their own expense, including:

  • A secure work location that allows privacy and prevents distractions.

  • A high-speed internet connection of at least 25 Mbps download and 5 Mbps upload.

  • Suitable lighting, furniture, and utilities.

Responsible for support and executive secretarial functions to assist the statewide Quality Assurance, Training, Systems, Inclusion Workload, and Special Support Services. This includes direct support to the managers of those respective units. The Quality Assurance Unit, Training, Systems, Inclusion, Office of Retirement Services and Special Support Services. Provide statewide service to the DDS' 4 Area Offices. Composes letters, reports, and edits correspondence for the unit. Calls for considerable independent judgment. Serves as a liaison between the Agency Support Programs staff and Managers with other Agency staff, Federal, and State contacts. Responsible for providing reports and drafting forms when necessary, while exercising considerable independent judgment in making sure that service to our customers is maximized and program policies and procedures are properly followed. Also responsible for procurement and reconciliation, case folder handling and distribution, handling form requests and receipts, motor vehicle arrangements, and back-up assistance and other duties as necessary. Individuals selected for positions with the Michigan Disability Determination Service (DDS) will be required to pass a complete federal background investigation as required by Homeland Security Presidential Directive 12 (HSPD-12). A suitability determination by the Social Security Administration is necessary to determine whether an employee can be issued credentials in order to have access to Social Security Disability data, records, and systems. Finalists must pass a preliminary check prior to a job offer being made. A full background investigation will follow. Further details will be provided during the interview process.
