Duties performed are of a complex and varied secretarial/administrative support nature usually in a major function, department, or unit of the University. This is the most senior level secretarial job, and while it incorporates elements of other levels, it has a majority of effort associated with more complex secretarial support services or program-related activities, including handling substantive secretarial/administrative details and duties for a supervisor. The level of independence at this level has a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow but focused.
Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications
Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP, Sharepoint).
Demonstrated ability to design/maintain web pages may be desired.
Duties & Responsibilities
Primary support staff person for department.
Prepares and analyzes correspondence, reports and summaries for department and external auditors as requested.
Schedules appointments and meetings for department and external auditors as requested.
Handles mail and orders supplies.
Maintains G/L and cost center listings.
Maintains names and addresses in SAP (use QTP).
Primary phone responsibility.
Maintains copier and printers for department.
May assist with department website maintenance.
Various audit responsibilities.
Supervises and maintains document imaging system for dept.
Assists in draft design and layout of training materials.
Provides training to departments.
Tests master data in SAP.
Responsible for hiring, training, time & attendance monitoring, discipline and termination of student employees.
Responsible for use and training on use of SharePoint.
Responsible for handling parked documents in SAP.
Responsible for department purchasing and budget reconciliation.
Responsible for preparation for printing and printing of university financial reports at year end.
