JOB PURPOSE:

The Executive& Office Support Manager serves as the primary point of contact for internal and external constituencies on all matters, business and personal, pertaining to the President and CEO. This role is responsible for creating and implementing office best practices to ensure the effectiveness for the corporate office by managing and directing the administrative team and functions within the corporate office to ensure a smooth, efficient and appropriate flow of information, schedules and tasks. This role also serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts (i.e. foundations, boards, etc.); and oversees special projects. This individual must be able to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

KEY FUNCTIONS:

  • Oversee and direct the administrative team's workflow to manage and complete a broad variety of administrative tasks for the President & CEO and members of the executive team including but not limited to managing an active appointment calendar; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Work requires some analysis and use of initiative and independent judgment. Remain knowledgeable of corporate policy. Often called upon to interpret and communicate executive or board's intent to other employees

  • Plan, coordinate and ensure the schedule is followed and respected while serving as internal and external liaison for the President/CEO to create win-win situations.

  • Considered subject matter expert within discipline. Conducts highly complex work critical to the organization. Works without supervision with extensive latitude for independent judgment. Assists less experienced peers.

  • Research, prioritize, and follow up on issues and concerns addressed to the executive office, including those of a sensitive, complex or confidential nature. Determine appropriate course of action, referral or response.

  • Provide a bridge for smooth communication between the President/CEO and staff demonstrating leadership and establishing credibility, trust and support with internal and externals contacts.

  • Works closely and effectively with the President/CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.

  • Be aware and have a good understanding for the issues taking place in the environment and keeping the President/CEO appropriately updated in a manner that empowers executive and senior leadership team.

  • Provide leadership to build relationships crucial to the success of the organization.

  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting business letters, personal correspondence, and other tasks that facilitate the President/CEO's ability to effectively lead the company.

  • Personal assistance duties as assigned (i.e. family travel arrangements, foundation work, etc.).

  • Prioritize conflicting needs; handles matters expeditiously, proactively and follows-through on projects to completion, often with deadline pressures.

  • Participate as an adjunct member of the executive team including assisting in scheduling meetings and attend meetings to take minutes, if needed.

  • Act as office liaison to coordinate office needs and manage reception, office equipment, mail and outside vendors.

  • Assist in coordinating the agenda of executive and senior management team meetings and off-sites, and all staff meetings.

  • Communicate effectively and professionally in all forms of communication with internal and external customers.

  • Adhere to Midco privacy guidelines to ensure each customer's privacy.

  • Maintain regular attendance as required by your position.

  • Perform other duties as assigned.

EXPERIENCE AND EDUCATION:

  • Bachelor's Degree required (Business Administration Major preferred) or equivalent work experience.

  • 8+ years of upper level executive assistant support and/or office manager experience or equivalent combination required.

  • Advanced Microsoft Word, Excel and PowerPoint and Outlook skills required.

  • Other computer skills including Adobe Acrobat and Internet-based research preferred.

  • Highly developed sense of professional courtesy. And ability to think proactively to maximize opportunities to promote the work of the organization.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:

  • The employee is occasionally required to reach with hands and arms, stoop, kneel or crouch.

  • The noise level in the work environment is moderate.

  • Employees may be required to work in excess of 40 hours per week and other than normal business hours, such as holidays, evenings and weekends as business demands.
