The position of Executive Office Specialist within the College of Education and Human Services' Child Development and Learning Laboratory (CDLL) supports the daily operations and programming of the preschool by working cooperatively with staff, students, families, and external partners under the leadership of the center's director.
Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications
Demonstrated ability to learn and utilize specialized software and/or database programs.
Experience using various platforms for the purpose of disseminating information.
Familiarity with externally sponsored projects.
Experience with SAP or other form of financial software.
Duties & Responsibilities
Family Involvement-10%
Records and tracks child attendance using specific program known as Child Plus.
Serves as the liaison with Isabella County in the coordination of transportation for children.
Assists with the planning, preparation and execution of family events and programs.
Serves as Public Relations Agent-10%
Promotes CDLL programs by disseminating marketing and informational materials to the public using various platforms such as Story Park.
Provides prospective families with information related to reserving and applying to the CDLL.
Coordinates with university community the use and scheduling of the CDLL facility for special events.
Promotes and serves as communication link between the CDLL and other parts of the College or University.
Provides office support-35%
Coordinates facilities maintenance or custodial needs/matters using appropriate channels.
Maintains confidential storage inventory and assists with disposal of records per the records retention schedule.
Provides administrative support to various CDLL staff and lead teachers.
Updates CDLL web page content as needed.
Serves as the first point of contact for the CDLL and provides exemplary customer service through correspondence and response to inquiries.
Supervises student employees in the CDLL office and delegates various tasks.
Attends all CDLL staff meetings and provides support by recording minutes and disseminating materials.
Grants and Licensing-20%
Monitors and reports on financial activity to ensure compliance within budgeted parameters.
Assists with the creation and maintenance of child attendee files including the collection of required information such as immunization data, custodial information.
Organizes and maintains CMU student files and paperwork related to coursework and field experiences.
Provides assistance with maintaining records related to licensure and accreditation standards to ensure compliance.
Maintains inventories of CDLL supplies and equipment and coordinates acquisitions.
Assists with the CACFP food program paperwork.
Assists with all aspects of the PNC Lending library.
Financial Support-25%
Maintains positive working relationships with University constituents including the department home office, acting as a liaison in conjunction with the CDLL director.
Utilizes SAP for accounting/financial transaction and generating timesheets/reports.
Provides assistance utilizing ActivePay to assign expenditures on CMU Business Card transactions.
Accesses, with approved credentials, financial information such as SDOL or State Aid.
Performs monthly reconciliation of accounts.
Prepares/processes journal entries as needed.
Trains in ProCare or similar childcare program to track students and families in the CDLL.
