Duties performed are of a complex and varied clerical/technical nature, usually supporting a major function, department, or unit of the University. This is the most senior level clerical job handling substantial clerical/administrative details and duties. It incorporates elements of other levels with a majority of effort associated with more complex clerical technical support services or programs. The level of independence at this level has a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow but focused.
Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications
Knowledge of specific software and/or mainframe/systems skills may be desired by the hiring department (i.e. Excel, Access, SAP).
Duties & Responsibilities
Assists in the completion of the month-end budget reconciliation process.
Generates and reviews monthly budgetary reports as required.
Records general ledger entries for account changes and monthly reconciliations.
Manages the general ledger and devotes time to risk management and process improvement.
Compiles and analyzes financial results and reports on discrepancies.
Assists in the completion of the month-end budget reconciliation process.
Proactively identifies data set-up and maintenance issues that are detrimental to providing outstanding customer service to customers.
Analyzes existing processes to understand workflow and data interactions.
Documents, trains, and implements process improvements/new processes with student employees along with our Assistant Directors.
Collects, sorts, and prepares data/information including creating events in CRM (Slate) to enter student data from events hosted by Admissions staff.
Retrieves and responds to swag and counselor requests to ensure materials are shipped efficiently. May assist with updating inventory to serve as backup for other office specialists.
Helps manage Timelink for student employees, temp employees, bi-weekly part-time, and semi-monthly staff. Records and maintains attendance on the Time Off calendar for students, bi-weekly and semi-monthly staff.
Answers phones and assists callers with questions that may be complex in nature requiring staying up to date on enrollment processes.
Provides backup coverage for the main admissions welcome desk, ensuring top customer service including directing walk-ins, helping with staff's calendar appointments, the appearance of the main lobby, etc.
Makes recommendations related to assigned duties, office procedures, or processes.
Ensures office functions run smoothly by making day-to-day decisions following guidelines set by Admissions.
Serves as backup for admissions main lobby front desk when needed.
