Executive Ecosystem Operations Assistant

Job Description

About the Role

Our Ecosystem team is seeking an experienced and highly organized Executive Assistant to provide comprehensive support to our executive team. The ideal candidate is not only a seasoned administrative professional but also technologically savvy, with expertise in Google Workspace, project management, and communications (both written as well as slideware support) and a strong ability to manage complex schedules and global travel arrangements.

Key Responsibilities:

Executive Support:

  • Serve as the right hand to our SVP of Global Ecosystem as well as key executives on her leadership team, providing administrative support and acting as a key liaison between them and other teams.

  • Manage multiple executive calendars, scheduling meetings, appointments, and ensuring timely reminders.

  • Handle phone calls, emails, and communication on behalf of the executives, maintaining a high level of professionalism and confidentiality.

Project Management:

  • Lead and support various projects, acting as a project manager to ensure they are executed efficiently and meet deadlines.

  • Collaborate with cross-functional teams to gather information, track progress, and report project updates to executives.

Communications Support:

  • Help with weekly email / newsletter creation as well as other mass email needs

  • Support all hands calls on regular cadence

  • Support intranet site of go to content (org charts, team overviews, etc.)

  • Support slide creation to help communicate to extended team initiatives and projects

Google Workspace Proficiency:

  • Utilize advanced features of Google Workspace, including Google Slides, Google Drive, and Google Sheets, to create, edit, and maintain documents, presentations, and spreadsheets.

  • Train and support executives and team members in the effective use of Google Workspace tools.

Global Travel Management:

  • Arrange and coordinate complex international and domestic travel itineraries, including flights, accommodations, transportation, visas, and necessary documentation.

  • Ensure travel plans align with the executives' schedules and preferences, optimizing their time.

Expense Management:

  • Monitor and track expenses, including expense reports and reimbursements for executives.

  • Maintain accurate records and ensure compliance with company policies.

Chief of Staff Functions:

  • Act as a key advisor and gatekeeper, managing access to the executives' time and attention.

  • Assist in the formulation and execution of strategic initiatives and decisions.

Qualifications:

  • Proven experience as an Executive Assistant or similar role, preferably in a fast-paced and global environment.

  • Strong technical proficiency in Google Workspace (Docs, Sheets, Slides, and Drive) and other productivity tools.

  • Exceptional project management skills with a track record of successful project execution.

  • Ability to coordinate complex travel arrangements and manage multiple executive calendars.

  • High attention to detail, organization, and the ability to prioritize tasks effectively.

  • Outstanding communication and interpersonal skills.

  • Proactive, resourceful, and able to work independently with minimal supervision.

  • An overachiever with a commitment to excellence and the ability to adapt to changing priorities.

  • Bachelor's degree or equivalent experience preferred.
