Role Summary

This senior level administrative position provides primary administrative support to the EVP, VW & Group Communications with secondary support to Corporate, Internal and Product Communications Teams.

Role Responsibilities

  • Manage electronic schedules to ensure efficient time management. Schedule routine departmental meetings, prepare agendas, take meeting minutes & ensure timely follow-up for tasks assigned to the team during meetings. Proactively follow-up on outstanding tasks & issues.

  • Screen & route written & electronic mail & telephone calls, both internal & external.

  • Prepare clear & well-written communications on behalf of senior leaders, both within VoA & with outside recipients, including VW AG as required. Prepare & coordinate various reports, presentations & documents within the departments by gathering data &/or preparing PowerPoint slides & when required, submit to Office of the EVP for inclusion into Board & other high-level presentations.

  • Prepare, submit & track expense reports & maintain records.

  • Prepare, track & follow-up on Check Requests, Purchase Requisitions, RFQ's, & PAR'S to ensure timely delivery of goods & services.

  • Monitor departmental travel requests, verify need for travel & approve on behalf of senior leaders.

  • Establish & track administrative & discretionary budgets. Access & track monthly Budget Performance reports for individual cost centers, review for discrepancies & reverse where possible. Prepare accruals, collect back-up documentation, submit to Finance, prepare check requests for payment, & reconcile payments against accruals.

  • Maintain signature authorizations/deletions.

  • Act as Federal Express administrator for department, order office supplies, maintain office supply cabinet/resources, & prepare OA, catering & other requests on behalf of senior leaders & team members as required.

  • Provide back-up administrative support for Executive Vice President, VW Brand, as required.

  • 3-5 years of related experience

  • High School Diploma

  • 3 years Administrative Assistant experience with executives

  • Proficient in computer skills (Microsoft Word, Excel, PowerPoint, Outlook, Internet Browsers)

  • Analytical and conceptual thinking using logic and reason, creative and strategic

  • Communication skills interpersonal, presentation and written

  • Computer savvy skilled in the use of software

  • Integration joining people, processes or systems

  • Influencing and negotiation skills

  • Problem solving

  • Resource management

Desired Qualifications

  • Bachelor Degree
  • 3 years Administrative Assistant experience with executives in the automotive industry

Work Flexibility

  • Some travel may be required

Specific experience in network security and/or cloud a plus. </li> <li>Excellent written and oral communication skills. Experience in public speaking a plus. </li> <li>Demonstrated experience in developing marketing content and sales enablement materials and tools. </li> <li>Knowledge of and comfortability with managing social media such as LinkedIn, Twitter, etc.</li> <li>Strong knowledge of technology fundamentals and current technology trends </li> <li>Ability to translate complex technical concepts and technologies into strategic business and partner/customer-centric value propositions. </li> <li>Ability to perform in a high-energy and highly demanding work environment where change is a constant. </li> <li>Drive and lead multiple deadlines and priorities, and drive projects through to completion, while collaborating with other teams. </li> <li>Willingness to travel (estimated to be less than 10%).
