Description
The Legislative Research Commission is accepting applications for the position of Executive Assistant. This position is nonpartisan in nature and requires the ability to work with neutrality in a politically charged environment.
The Legislative Research Commission provides staff support to the Kentucky General Assembly. The agency offers unique opportunities to people seeking fulfilling, challenging, and rewarding careers. This is a permanent, full-time position with benefits including health and life insurance; retirement plan; and paid holidays, vacation, and sick days. Compensatory time is awarded on an hour-for-hour basis with prior approval.
Job Duties:
Review, sort, and route incoming correspondence.
Coordinate with other LRC offices and state agencies on LRC matters.
Prepare agenda and minutes of meetings.
Maintain a schedule of appointments and the daily calendar for the Deputy Director of Committee and Staff Coordination and other members of the senior management team.
Assist and work on session and interim calendars.
Make necessary arrangements for speaking engagements, travel engagements, hearings, conferences, and meetings.
Maintain mailing lists.
Assist in some aspects of the Fiscal Impact Statement process set forth in statutes, House Rules, and Senate Rules.
Prepare memorandum and reports for review by senior executives.
Assemble statistical or other materials needed for reports, memoranda, and speeches.
Prepare confidential correspondence on highly sensitive matters.
Manage long-term projects for senior executives.
Develop effective work methods and processes to streamline office operations.
Assist senior management in responding to inquiries from legislators and the public.
Provide administrative support for senior management, welcome visitors, and answer phones.
Provide information to those requesting it including members of the General Assembly; LRC personnel; representatives of state, local, and other groups, organizations, and agencies; and the public in accordance with established policy
Organize speakers and information for new legislators.
Perform other duties as assigned.
Desired Skills and Abilities:
Knowledge of administrative best practices and their application to specific situations.
Ability to act as confidential assistant to an executive officer and to assist officer with office detail.
Ability to read and comprehend department rules, regulations, programs, standards, and procedures.
Ability to prepare routine correspondence.
Ability to maintain confidential records and files and organize administrative work.
Excellent writing, verbal, and listening skills as well as interpersonal and customer service skills.
Ability to work directly with legislative leaders.
Ability to learn to use various types of electronic and/or manual recording and information systems used by the agency, office, or committee staff.
Proficiency with current office technology.
Ability to plan programs, projects, or events.
Ability to maintain nonpartisanship and confidentiality.
Minimum Requirements
EDUCATION: High school diploma or GED and some community college or college coursework required; college degree preferred.
EXPERIENCE, TRAINING, OR SKILLS: Minimum of 5+ years in administrative support; experience supporting a senior executive and knowledge of legislative processes is preferred.
