Executive Assistant/Office Manager

Our client, a small office in Morris County, is seeking an Executive Assistant and Office Manager to join the team!

The ideal candidate is a team player who thrives on building relationships while also providing exceptional executive and office support to a small office.

Responsibilities

  • Coordinate Executive's calendar, schedule, and appointments. Condense professional and personal calendars.

  • Coordinating speaking engagements.

  • Support leadership team with meeting planning and calendar management as needed.

  • Meeting preparation and following up on action all items.

  • Assist Executive with email management.

  • Create and manage internal and external relationships.

  • Booking travel and all accommodations such as booking flights, lodging, ground transportation, etc.

  • Order and manage office and kitchen supplies, work with all company vendors, and liaise with building management regarding repairs, maintenance, and other matters.

  • Greet every employee, client, guest, and vendor as they come through the door with professional enthusiasm.

  • Coordinate guest arrival: manage parking, offer welcome refreshments, communicate guest's arrival to the appropriate party, and make conference room arrangements/reservations.

  • Additional duties and projects as needed.

Qualifications

  • At least 5 years of Executive Support experience preferred.

  • Technology savvy with experience using Google Suite.

  • Proven ability to work in highly collaborative environments.

  • Able to anticipate needs and have problem solving skills.

  • Ability to build relationships and manage the office space.

  • Outstanding time management and organizational skills.

  • Professional level written and verbal communication and interpersonal skills.

  • Light travel required.
