About the role

  • Provide C-level executive support while maintaining high levels of discretion, integrity and judgment when handling highly confidential and proprietary materials

  • Act as liaison with direct reports, other internal teams/organizations, and external partners

  • Manage complex calendars and scheduling requirements

  • Secure and manage domestic and international travel arrangements, often including complex logistics

  • Plan and run both internal and external executive events, meetings (e.g., staff and all-hands) and off-sites

  • Build and define processes to manage/track administrative activities and help drive completion of key deliverables, analyses, reports, write-ups, etc.

  • Records management, materials preparation, and other duties as required

  • Provide support on special projects as needed

  • Build relationships and partner effectively with other Administrative/Executive Assistants to support the Senior/Executive Management teams

Who you are

  • 7+ years of progressive administrative or executive support experience

  • 5+ years of experience providing direct support to executive-level staff and some experience supporting Board/External Advisory staff

  • Excellent influencing, negotiating, communication and organization skills

  • Strong attention to detail

  • Ability to think and plan proactively, delegate responsibilities appropriately, and manage time effectively

  • Effectively multi-task, anticipate needs, continually shift priorities on a moment's notice, and balance competing priorities

  • Seek to improve work processes and proactively resolve issues and conflicts

  • Enjoy problem-solving, working collaboratively with others and building effective working relationships

  • Skilled in Microsoft Office (Outlook, Excel, PowerPoint, and Word), iPad; iPhone, etc.
