Position Objective:
This role is one of the senior practitioners within the group of central administrative assistants based in our headquarters location.
The purpose of this role is to assist the senior leader(s) of the center with day to day management process activities including scheduling team meetings, organizing training activities, helping to maintain a central vacation and absence calendar and being responsible to assist the leader of the group with based in in Norwalk, CT.
This role is highly demanding and dynamic, and requires someone who will be proactive, extremely professional with good judgment and comfortable managing multiple executives.
Must be able to learn the organization quickly and anticipate the needs of the business leadership.
The ideal candidate has prior experience supporting C-suite executives and understands how to prioritize demands from multiple constituents: executive committee, board of directors, business leaders, employees and customers.
Summary of job responsibilities/essential functions:
Excellent office management skills; calendar and email management
Flawless ability to schedule and arrange local and international travel and meetings; ensure expenses are paid as appropriate
Excellent communication skills, both written and verbal
Technically savvy; help set up and run WebEx/Teams meetings, troubleshoot with technology team on various systems and applications
Excellent Microsoft skills (PowerPoint, Excel, Word, Outlook, Teams, SharePoint)
Proactively manages responsibilities without direct supervision and exercises good judgment
Effective problem-solving skills and the ability to make decisions; must be highly dependable, organized and a self-motivator
Work daily with the Executive Leader(s) to manage his or her schedule effectively
Stay current on email and other correspondence received and prioritize the correspondence
Ability to handle confidential information of all types with excellent judgment that comes from years of experience in doing this in prior roles.
Quick learner who can assimilate into a new environment quickly and become effective in executing their day-to-day
Qualifications:
5-10+ years of experience in supporting senior-level executives
Prior experience in a corporate headquarters environment preferred.
