THE OPPORTUNITY

As the Executive Assistant in the Los Gatos, CA office, you will provide support to multiple C-Suite executives. We are seeking a highly organized, proactive multi-tasker who can manage multiple calendars, meeting coordination (on and off-site), assist with note taking, expenses and travel arrangements across domestic and international time zones. The qualified person will demonstrate poise, professionalism, a positive attitude, be customer-focused and have exceptional organizational skills in our fast-paced and fun environment!

THE SKILL SET

Responsibilities

  • Manage busy C-Suite executives calendar, prioritizing requests, flagging conflicts, and negotiating rescheduling as necessary working effectively with internal stakeholders, board members, customers, partners, candidates and more.

  • Anticipate and plan all logistics and requirements for meetings, presentations and events the C-Suite executives attend

  • Coordinate executive events such as QBR (quarterly business review), board meetings, leadership meetings and offsites, All Hands meetings and local events. Coordination can include but is not limited to securing and managing vendors related to food and beverages, hotel and travel accommodations, entertainment, swag, and more.

  • Handle confidential matters with discretion

  • Complete special projects as required to support the C-Suite executives

  • Collaborate and partner with cross functional teams to organize and/or create a sense of urgency to maintain the discipline necessary for the C-Suite executives

  • Research, prioritize, and follow up on incoming issues and concerns addressed to the C-Suite executives, including those of a sensitive or confidential nature, and determine the appropriate course of action

  • As needed, be a backfill for the onsite receptionist.

Desired Skills and Experience:

  • 1-3 years of administrative experience support; prior experience supporting a C-level executive a plus

  • Proficient in Gmail, MS Office software products

  • Highly proactive, detail oriented and organized

  • Demonstrated ability to multitask and prioritize the order in which needs and contacts should get responded to or resolved

  • Highly resourceful team-player, with the ability to also be effective independently

  • Excellent customer service skills

  • Superb communication skills, both verbal and written

  • Strong work ethic and willingness to take ownership for wide-ranging responsibilities

  • Displays respect, integrity, professionalism and discretion

Salary range: $37.00/hr - $41.00/hr
