Reporting directly to the Chief Financial Officer (CFO) and Sr. VP of Dedicated Fleet Services, the Executive Assistant will be responsible to handle a wide range of administrative and executive support-related tasks, and should be able to work independently with little or no supervision. The Executive Assistant will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant to the CFO and Sr. VP provides services to help execute the organization's operational goals.
Answer phones when CFO and Sr VP are away from their desks or during meetings
Schedule meetings for CFO and Sr VP, coordinate with other executive assistants, take phone calls from other executives who need to meet with CFO or Sr VP; assist with panning appointments and events.
Schedule phone calls with investment firms and research analysts as requested by CFO
Prepare PowerPoint presentations for employees, investors, and others based on information from CFO and/or Dedicated VP leadership team.
Send out investor information packets to interested investors (10-Q's, 10-k's, annual reports, proxy statements) based on requests in investor relations mailbox forwarded by CFO
Register CFO for attendance and presenting at investor conferences (conference registration, webcast registration and payment, coordinate with Travel department for hotel for CFO), typically two to three conferences per quarter
Make travels arrangements for CFO and/or Sr VP as needed
Type memos as needed
Spreadsheet preparation as needed; create regular reports and update internal databases.
Mailings as needed; facilitate internal communication (e.g. distribute information and schedule presentations)
Process payments for CFO with Accounts Payable; process holiday and extra shift pay for Dedicated office associates.
Process credit card receipts for CFO company credit card
Coordinate onsite meetings with investors (meeting room, presentation booklets, food, etc.)
Suggest more efficient ways to run the office and troubleshoot malfunctions.
Respond promptly to leadership queries.
Associate or Bachelor's degree in business, office management, communication, or other field related
Administrative experience supporting multiple leaders preferred
Time management, organization and prioritization abilities required, including the ability to manage multiple priorities with limited direction
Demonstrated advanced proficiency in operating Microsoft Office Software including: Outlook, Word, Excel, and PowerPoint.
Transportation experience desired
